POSITION DUTIES
This is a skilled service position responsible for providing fiscal, administrative, logistical, and technical support to staff in the Division of Career and College Readiness which includes the Office of Leadership Development and School Improvement.
The Finance Administrator duties include:
• Managing and tracking financial records and processes
• Entering and monitoring data in the Notice of Grant Awards (NOGA) System and Financial Management Information Systems (FMIS)
• Reconciling expenses and credit statements
• Responding to inquiries from local education agencies, community colleges, and others
• Prepares and tracks requests for services, purchase orders, contracts, expense reports, travel requests and supply requests
• Manages and tracks grant submissions
• Maintain current and accurate databases
• Schedule meetings and manages calendar for Director level staff
• Prepares presentations, images, and other correspondences to communicate Division functions and priorities
• Managing incoming mail, telephone, and email requests
• Managing general office functions
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Three years of administrative staff or professional work.
Notes:
1. Candidates may substitute 30 college credit hours from an accredited college or university for each year up to two years of the required experience.
2. Candidates may substitute the possession of a Bachelor's degree from a college or university for the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included the regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
• Proficient in Google Suite, Microsoft Teams, and Microsoft Office (particularly Excel and Access)
• Experience with the Financial Management Information System (FMIS)
• Experience working with Grants
• Experience working with or processing financial records, expense reports and/or invoices
• Work experience involving communicating with and providing technical assistance to customers of diverse backgrounds
• Experience in accurately preparing monthly reports
• Experience preparing documents, correspondences and presentations
