POSITION DUTIES
- Direct supervison of personnel by actively assigning, evaluating and assessing personnel in the Instant Ticket warehouse to assure that manpower is used appropriately and that practices and procedures for all personnel are followed to the standards and expectations of the MLGCA. Complete all employee evaluations, update files and forms as required and assure mandatory training for all personnel within the department is completed. Administer direct supervision of staff through individual meetings, oral and written communications. Daily contact with UPS corporate, Tel-sell and retailers to resolve shipping and receiving issues.
- Measuring and reporting the effectiveness of the department activities. Developing and maintaining departmental work instructions for all tasks. Establishing or adjusting work procedures to meet Facilities Department demands as dictated by schedules and workflow. Interpreting State policies to workers and enforcing safety regulations. Recommend measures to improve quality of service, increasing efficiency of department and work crew and equipment performance. Continuously improve facilities operations using lean enterprise practices. Conferring with other supervisors to coordinate activities of individual departments and serving internal and external customers.

Recommend measures to improve quality of service, increasing the efficiency of the department and work crew and equipment performance. Continuously improve facilities operations using lean enterprise practices. Conferring with other supervisors to coordinate activities of individual departments and serving internal and external customers.
- Receives items from a variety of vendors and suppliers. Stores the items, and distributes them to state retailers. Maintains records related to the receipt, issuance and control of all warehouse area items. Prepare daily, weekly, monthly, and quarterly inventory reports and distribute to required staff for the monthly reconciliation of the instant ticket inventory within the required time-frame. Receive and process returned tickets from retailers back into the GMS system or separated for destruction. Operation of the battery forklift vehicle in a safe manner and provide for the maintenance of all equipment used in the warehouse. Supervisor will assist Facilities Manager with agency assets, supplies inventory, training and facility maintenance. Responsible for the training of all warehouse staff for the required forklift license. Assist all agency departments as needed for special projects.
- Coordinate the start and end of all instant games with the Product Development Manager and the delivery of the instant tickets with the instant ticket printer. Prepare and initiate game launches by entering game parameters, reorder data and quotas into the system. Supervise the operation and book movement of the entire instant gaming process. Participate as a member of the Agency’s instant ticket task force and make recommendations to improve the instant ticket product. Oversee daily maintenance activities ensuring quality service for a clean and safe environment throughout the Instant Ticket Warehouse. Monitoring environmental controls and making corrective actions when necessary. Insuring safety procedures are followed by all staff and vendors working in the warehouse environment.
- Secure all items and materials stored in the Instant Ticket Warehouse area. Checks and certifies receipts of items to make sure they match the manifest documents. Completes quality inspection of items as required. Monitors Instant Ticket Warehouse inventory levels and initiates requests for shipping supplies to ensure that inventories are not depleted for mission critical items.
- Tracks Scitrak application and ensures that the Node is properly functioning and does not need to be reset before daily operations begin. Evaluate the system for problems that persist, and contact the Network Systems Administrator for immediate attention. Monitors the Scitrak system to ensure that all drops are functioning properly.
- Ensures “over flow” and “no need” bins are at proper limits; conveyor system is properly cleaned and electronic contact points are in working order. Monitor Scitrak App to monitor the bin drops activity and to manually close bins in the case of system failure.
- Confirm that all orders are processed correctly in Scitrak App. Confirm that all Label Printers are functioning properly to ensure an accurate delivery. Follows up with UPS, UPS Tech and or UPS Local Enterprise Account Manager with issues. Track orders that come up “no history" to ensure proper shipment of every pack that runs through the sorter is assigned to a retailer even if an error with the system occurs. Communicate with Tel-Sell managers, associates, and Security to provide information pertaining to the shipment of packs not received, stolen or missing from shipments. Review shipping exception report daily; any orders not received by a retailer are researched and UPS is contacted to begin an investigation on missing packages.
MINIMUM QUALIFICATIONS
Experience: Eight years of experience in administrative staff or professional work.
Notes:
1. Candidates may substitute the possession of a Bachelor's degree from an accredited college or university and four years of experience in administrative staff or professional work for the required experience.
2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 credit hours on a year-for-year basis for the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for- year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
· Knowledge of the purpose and function of a large supply warehouse.
· Working knowledge of methods and procedures used in the receipt, storage and distribution of supplies and materials.
· Ability to establish and maintain effective working relationships with vendors, associates and subordinates.
· Experience supervising, training, developing and evaluating staff.
