The Office of the Public Defender is seeking detail-oriented applicants with significant secretarial experience and strong customer service skills, who possess excellent organizational and problem-solving skills, as well as strong writing skills and the ability to work independently in our District 1 Administration Division. POSITION DUTIES

A Management Associate is work providing secretarial support to an official, administrator or administrative staff. Employees in this classification type on keyboards of personal computers using word processing software. Employees in this classification may supervise lower-level secretarial or clerical employees. Employees in this classification receive supervision from an official, administrator or administrative staff. · Daily contact with District One Leadership in person, video conference or by telephone to schedule meetings, secure and relay information for the District Public Defender and/or Deputy District Public Defender and provide support when requested. · Interprets administrative decisions and policies to District One Leadership including Division Chiefs and Office Managers and transmit orders and instructions with the authority of the District Public Defender for Baltimore City. · Creates and maintains files, reviews drafts and finished documents for accuracy and grammar, including documents of a sensitive or confidential nature. · Drafts and edits various documents including internal/external correspondence. · Coordinates special projects, compiles information and completes complex reports and analysis. · Assists in the preparation of regular reports by calculating figures, entering information, collating materials and securing confidential financial data to be presented. · Interfaces with external stakeholders including senior representatives of state, local or federal government agencies and/or private sector companies. · Demonstrates an ability to interact with persons of all backgrounds, cultures and affiliations within all levels of government, business or non-profit entities. · Process and distribute incoming mail and correspondence. · Schedule meetings and interviews, as requested by management. · Make photocopies, fax documents, provide phone coverage and perform other clerical functions. · Track information as needed · Maintain important and confidential records, schedules, expense accounts and office supplies. · Maintain office equipment. · Perform other duties as assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Experience working in a law office or court system. Excellent organizational and problem-solving skills, and the ability to multitask. Highly proficient in Google Suite, Microsoft Word, Excel and Outlook. Excellent oral and written communication skills.  Proven ability to work in a fast-paced environment. Bilingual a plus.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
