POSITION DUTIES

  • Acts as an intermediary for the Assistant State Superintendent of the Division of Early Childhood (DEC), as well as providing program support for the Coordinator of Special Projects and staff specialists maintaining frequent contacts with public and private executives, professional staff and other officials.
  • Provides timely, accurate and substantive assistance to DEC by providing routine contact with other divisions within MSDE; interacting with departmental staff to schedule meetings and discuss various program matters; preparing, producing, and creating internal and external meeting presentations; responding and researching telephone inquiries and providing accurate feedback to internal and external customers, and key stakeholders, serving as customer service contact for internal and external customers, and contact with facility managers, vendors and other state agencies to schedule meeting, request materials or check progress on projects.
  • Develop and implement office procedures and processes for overall effective operations by preparing reports, data, grants, fiscal review and purchase orders, using MSDE’s FMIS, Workflow and timesheets as well as reviewing monthly expense reports for DEC staff for processing and assisting with or conducting MSDE physical inventory processes for DEC.
  • Serves as human resources liaison by effectively communicating new policies and procedures in a timely manner; planning and facilitating the accurate tracking of PEP deadlines and requirements for loaned educators and MSDE staff; and responding to requests to resolve personnel issues by researching and communicating with human resources.

MINIMUM QUALIFICATIONS

EDUCATION: Possession of a Bachelor's Degree from an accredited college or university
EXPERIENCE: Five years of experience in administrative or professional work.

DESIRED OR PREFERRED QUALIFICATIONS

  • Proficient with Microsoft Office Suite (Word, Excel and PowerPoint) Proficient  with Google Applications
  • Experience with basic Accounting (Accounts Receivable /Payables) 
  • Experience with  Customer Service 
  • Experience with Internal and External Stakeholders   

SPECIAL REQUIREMENTS

Applicants are subject to a criminal background investigation in accordance with the federal Family Law Article, Section 5.  Employees in this classification are subject to substance abuse testing in accordance with Code of Maryland Regulations 06.01.09, Testing for Illegal Use of Drugs. Person appointed to position in this classification will be assigned duties which require the operation of a motor vehicle including a car, five-passenger van, and a 12-passenger van. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland, and their driving records will be subject to investigation
