POSITION DUTIES
- Ensures the Division/Office operates under high-quality, service-level agreement-based practices.
- Plans, organizes, and coordinates special projects supporting the MSDE Division/Office from inception to completion, ensuring timely delivery and high-quality outcomes and leads initiatives to continuously improve operational workflows.
- Cultivates and manages relationships with internal and external stakeholders and fosters effective communication and collaboration.
- Develops surveys and other feedback mechanisms to solicit input from stakeholders and gather valuable insights to inform strategic decision-making and utilizes this information to refine project approaches and improve overall project outcomes.
- Ensures Division/office tasks, projects, and programs adhere to relevant policies, regulations, and guidelines set by MSDE and other regulatory bodies.
- Establishes and implements performance metrics to evaluate the effectiveness and efficiency of operational processes and prepares reports and presentations for Senior Management, providing updates on operational activities, progress, achievements and insights for improvement, process optimization and efficiency enhancements.
- Identifies, defines, and allocates resources for both large and small-scale projects, programs, and events.
- Provide executive-level support to senior management, updates operational policies and procedures to ensure compliance and efficiency across the Division/Office and coordinates events logistics, ensuring seamless planning and execution.
- Addresses inquiries and provide relevant information to internal and external stakeholders, demonstrating a comprehensive understanding of Division/Office initiatives, policies, procedures, and regulations.
- Collaborates with finance and relevant divisions and offices to effectively manage project budgets, ensuring prudent allocation and utilization of resources to maximize project impact and meet financial objectives.
- Manages resources, processes, and other various aspects of Division/Office operations and collaborates with other divisions, office, and teams to align resource management, procurement processes, and operational support.
MINIMUM QUALIFICATIONS
- Candidates may substitute 30 college credit hours from an accredited college or university for each year up to four years of the required experience.
- Candidates may substitute the possession of a Bachelor's degree from an accredited college or university and two years of experience in administrative staff or professional work for the required experience.
- Candidates may substitute the possession of a Master's degree from an accredited college or university for the required experience.
- Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for-year basis for the required experience.
SELECTIVE QUALIFICATIONS

- Knowledge of principles and practices of business communications, operations, project management and office administration.
- Knowledge of organizational structure, staffing patterns and administrative-financial controls. ·
- Knowledge of standard business English.
- Skill utilizing Microsoft Office (e.g. Word, Excel, PowerPoint, Publisher) and Google applications (e.g. Forms, Docs, Calendar, Drive) and online productivity tools.
- Skill in time management and personal organization.
- Skill in preparing detailed and accurate documentation.
- Ability to manage and coordinate multiple tasks, identify efficient operative solutions to initiatives, and exercise sound judgement.
- Ability to follow instructions and prioritize and respond to inquiries from internal staff, constituents, stakeholders, and the general public and present recommendations clearly and concisely.
- Ability to communicate effectively and maintain effective working relationships in a team environment.
- Ability to plan, organize and direct the work of others.
- Ability to exercise judgement and discretion in applying and interpreting departmental policies, laws, rules, regulations, and procedures.
- Ability to maintain confidentiality of sensitive information.
