POSITION DUTIES

This position serves as the assistant to the Assistant Bureau Chief, Special Operations Command, which consists of the Automotive Safety Enforcement Division (ASED), Commercial Vehicle Enforcement Division (CVED), Traffic Incident Management (TIM) and the Special Operations Division (SOD); and provides administrative support in an accurate and expeditious manner. All work, which is complex and highly confidential in nature, is executed with little to no supervision, necessitating a strong understanding of Agency rules and regulations

As Administrative Assistant to the Assistant Bureau Chief, SOC, it is imperative that any and all correspondence remain confidential. In the Commander's absence, daily contact is made with the Division Commanders in order to disseminate information which needs an immediate response. Information is compiled, analyzed and forwarded appropriately. Daily management of administrative duties between, SOC, CVED, ASED, TIM and SOD is necessary to maintain uniformity and to successfully complete assignments.

Maintain review and prioritize daily suspense file for the Assistant Bureau Chief, SOC.

Compile and manage monthly appointments schedule for the Assistant Bureau Chief, SOC.

Independently open. sort, read and prioritize the Assistant Bureau Chief's mail.

Reviews, compiles and analyzes weekly enforcement information for Special Operations which includes SOC, CVED, ASED, TIM and SOD. Information is formatted in a manner to appropriately submit to the Chief, Field Operations Bureau for presentation to the Superintendent of the Maryland State Police.

Composes Orders, Memorandums and Directives

Provides administrative review and oversight of a wide variety of MSP forms and reports for accuracy, completion, proper signatures and forwarding for appropriate disposition.

Other duties that may be assigned by Command or Supervisory personnel.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.


Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

1. Experience in Windows based operating systems, preferably Windows 10.
2. Experience with Microsoft products such as Word, Excel an PowerPoint. 
3. Experience with Google products such as Docs, Sheets and Slides. 
4. Experience in taking meeting 'minutes'.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

In accordance with Section 2-204(b)(6) of the Public Safety Article, Candidates for position in this classification will be subject to an initial drug screening and a complete criminal background investigation to include a polygraph examination before permanent appointment can be made. A criminal conviction may be grounds for rejection of the candidate.

SELECTION PROCESS

The selection process for this recruitment will involve a rating of the training and experience provided on the application. Applicants who meet the minimum qualifications will be placed on an eligible list in the BEST QUALIFIED, BETTER QUALIFIED, and QUALIFIED categories. The list will be used by the hiring manager to select the individual to fill this vacancy. The list will be valid for one year.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training and experience related to the requirements of the position. You may be required to complete a qualifications supplement, or the rating may be based on your application. Report all experience and education that is related to this position. Applicants may be given a physical examination and will be subject to an interview, background investigation, polygraph examination and substance abuse testing.
