Main Purpose of Job

The Executive Aide will serve as the primary personal aide to the Governor. 

POSITION DUTIES

The candidate will perform the traditional duties of a executive aide while also accompanying the principal on most engagements and travel outside of the office and outside of Annapolis, MD. Ideal candidate must be able to:

Multitask, often managing multiple competing priorities.

Display an ability to be proactive and anticipate needs.

Manage briefing book process, compiling daily briefing materials and delivering briefing book to principal nightly.

Ensure that the Governor is properly briefed ahead of all engagements and be in possession of all necessary briefing materials, speech drafts, and instructions for all scheduled events.

In conjunction with the Director of Advance and Director of Scheduling, execute the daily and long-term schedule—including meetings, calls, and travel—to ensure timeliness and efficient use of resources.

Coordinate closely with Advance, Scheduling, and Executive Protection Unit on travel, lodging, and event logistics.

Coordinate with the Director of Advance on hotel selection, meals, and other details.

Coordinate with the household staff and the Governor to prepare him for any travel

Serve as traveling aide to ensure the Governor is properly prepared for all engagements. Facilitate the Governor’s trip logistics in real time; direct communication between local counterparts and Governor’s office staff; and maintain possession of the Governor’s effects and personal items while traveling.

Manage, track, and respond to incoming mail, gifts, and awards, including from travel. Work with Communications and Constituent Services teams, as appropriate, on thank you notes, citations, proclamations, birthday, anniversary, and birth announcements.

In conjunction with the Director of Scheduling, schedule all personal appointments with outside contractors.

Ensure personal matters are attended to in a professional and successful manner.

MINIMUM QUALIFICATIONS

Qualifications:

High EQ and perspective with the ability to read the room with ease.

Ability to adapt to the environment from casual to formal and align your presence as needed.

Time management and ability to meet deadlines.

Excellent verbal and written communication skills

Strong organizational skills

Problem-solving and decision-making skills

Ability to act as gatekeeper and escalate relevant information as needed.

Ability to work effectively with minimal supervision.

Strong interpersonal skills
