POSITION DUTIES
General Purpose: The Chief of Staff’s office seeks an experienced Executive Assistant to manage the Chief of Staff’s calendar and support office operations in a dynamic and fast-paced environment.
Responsibilities:
Scheduling (50%)
- Manage all aspects of the Chief of Staff's daily and long-term schedules
- Ensure that the calendar is accurate, precise, and up-to-date
- Coordinate meetings with internal and external partners
- Proactively identify and address potential conflicts or other schedule issues
- Develop processes for receiving and reviewing incoming schedule requests
- Compile daily meeting briefing books for the Chief of Staff
- Tracking internal needs and advancing projects
- Sending and compiling weekly reports
- Collect, track, and move incoming requests through resolution
- Office operations support
- Provide support for the Assistant Chief of Staff and CoS Special Assistant as needed
- Other duties and projects as assigned
MINIMUM QUALIFICATIONS
Qualifications:
- At least 3 years of experience as an Executive Assistant or similar role, preferably in a government or political setting and must have scheduling experience
- Fluency in Google Workspace and Adobe
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Ability to work independently and as part of a team
- Strong interpersonal skills
- Ability to maintain confidentiality and discretion in all matters
- Flexibility to work outside of regular business hours, as needed
