Introduction
The Maryland Insurance Administration (MIA) is an independent State agency that regulates Maryland’s $46 billion insurance industry and protects consumers by monitoring and enforcing insurers’ and insurance professionals’ compliance with State law. Through the diligence of a highly professional staff of market analysts, financial analysts, accountants, lawyers, law enforcement officers, actuaries, complaint investigators, and others, the MIA works to facilitate a strong and competitive insurance marketplace where consumers are well informed and treated fairly. Staff members are subject matter experts who serve as a resource for lawmakers, consumers, and other public and private entities.
The MIA is charged with a broad range of responsibilities including the licensure of insurance carriers and insurance producers (brokers/agents) operating in Maryland, the conduct of financial examinations of companies to monitor financial solvency, and the review and approval of rates and contract forms. The MIA investigates reports of consumer fraud and consumer complaints about life, health, automobile, homeowners, and/or property insurance. Insurance carriers are subject to market conduct examinations and other actions to monitor compliance with Maryland law. The MIA also has a unit dedicated to consumer education and outreach, which participates in hundreds of events and reaches thousands of individual consumers annually.

Main Purpose of Job
The Executive Assistant to the Office of Hearing will provide administrative assistance and support to the Associate Deputy Commissioner, the Associate Commissioner - Chief Hearing Officer, Hearing Officers, and other members of the Office of Hearings within the Office of the Commissioner. In addition, this position assists the hearing and appeals coordinator in the performance of specialized tasks, such as: docketing orders and directives of the Insurance Administration; tracking the payment of fines and penalties assessed in orders and directives of the Insurance Administration; docketing requests for evidentiary hearings and establishing and maintaining hearing files, records and schedules; receiving and processing legal correspondence, motions, and orders; communicating with parties; processing and mailing correspondence, notices, opinions, and subpoenas as requested; coordinating with the Office of Administrative Hearings on delegated cases; preparing the record for transmittal to the circuit court on appeal; and maintaining schedules and dockets.
Responsibilities include day-to-day processing of documents and information related to administrative proceedings; composing, formatting, and editing of legal correspondence, motions, reports, memos, and letters; handling of telephone calls and the coordinating and scheduling of the executive staff’s calendars. This position interacts with Attorney’s and Consumers via phone, email and in-person. Other related administrative support duties may be assigned.
MINIMUM QUALIFICATIONS
EDUCATION: Possession of an Associate's degree from an accredited educational institution.
EXPERIENCE: A minimum of four (4) years of work experience as an administrative assistant to a senior level executive or a legal professional.
Note: Possession of a high school diploma and four (4) additional years of qualified work experience may substitute for the degree requirement.
DESIRED OR PREFERRED QUALIFICATIONS
- Demonstrable proficiency in Google Suites, Word, PowerPoint, and Excel.
- Experience as a paralegal, court clerk, or litigation clerk.
- Experience with case tracking/case management software.
- Must possess a professional demeanor and excellent written and verbal communication skills, including the ability to accurately proof-read.
- Excellent organizational skills and a high level of attention to detail.
- Extensive experience providing administrative executive support to a senior level executive.
- Experience working in a professional environment that requires strong computer skills, flexibility, and the ability to deal effectively with the public.
