Introduction

The Maryland Department of Labor is accepting applications from qualified candidates for the position of Office Secretary III. This skilled position serves as the Office Secretary for the Department of Labor. An Office Secretary III is work providing secretarial support to an official, administrator or administrative staff.

Main Purpose of Job

This position will provide direct secretarial support to the 9 Investigators, Panel Secretary and Investigative Unit of the Home Improvement Commission by processing and preparing correspondence, entering and updating the computer records, and responding to phone and walk-in inquiries by homeowners, contractors and the general public. The position also include assisting the Licensing Unit as needed, fielding telephone calls; answering questions related to the laws, regulations and policies governing the licensing and regulation of home improvement contractors, reviewing and tracking complaints also preparing statistical reports.

POSITION DUTIES

Duties of this position include, but are not limited to:
  • Direct secretarial support to the 9 Investigators and Investigative Unit. Schedule site meetings for investigators with homeowner and contractor to observe the area of complaint to discuss and determines appropriate action to resolve complaint and recommends a consultant if necessary to investigation. Assist with calls and correspondence received for the investigators. Type a variety of correspondence related to consumer complaints and update the AS400 system as appropriate. Maintain daily case logs, bi-weekly itinerary, monthly statistics and mileage reports for the investigators 
  • Process consumer complaints and claims, verify license status of contractors, generate related correspondence, ensure the appropriate attachments are included, and create consumer complaint files and internal copy files. Prepare documents to send to OAH and maintain files accordingly. Answer telephone inquiries, assist walk-in customers and suggests appropriate action for consumers and contractors about complaints, claims and general information. Assist with calls and correspondence received for the investigators. 

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

Experience with AS400

Experience preparing reports & correspondences

Data Entry experience

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
