POSITION DUTIES

This position provides secretarial support to the Security Chief of a correctional institution.  Employees in this position also provide customer services to internal and external customers, local state and government officials, constituents and professional organizations.

  • Acts as an intermediary between the supervisor and appointed and elected officials, executive staff, state employees and the general public concerning routine and moderately complex matters requiring considerable tact, discretion and judgement. Delegates the responsibility to prepare correspondence for the supervisor’s signature and reviews for proper grammar, punctuation and spelling.

  • Uses the computer and current software and peripheral equipment to produce correspondence, reports etc.; drafts or corrected copies and edits grammar, punctuation and spelling.  At times required to sign correspondence on behalf of supervisor.  Distributes final documents without final supervisory reviews.
  • Prepares routine correspondence and reports, logs information and maintain database and files. Responds to written and telephone inquiries from internal and external customers as well elected officials. This requires knowledge of the Department and State rules and various COMAR regulations.
  • Takes meeting notes and provides minutes using specialized terminology.
  • Performs moderately difficult administrative functions, which includes written and verbal requests to inquiries, independently preparing reports and tables, scheduling meetings/conferences/tours and developing and revising office procedures.
  • Process requisitions for supplies and services when submitted by other personnel.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

one-year experience performing secretarial duties for a senior level administrator or executive.

one-year experience working with Microsoft Office Suite. 

Experience coordinating and planning meetings and event.

Strong written and oral communication skills.

Ability to prioritize and multi-task effectively.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
