Main Purpose of Job

To assist staff attorneys (Charter Specialists) with processing business entity documents and responding to public inquiries regarding business entities.

POSITION DUTIES

Acts as the primary source of information for telephone and in-person inquiries directed to the Legal Department. This role involves responding to questions from the public, law firms, and representatives of business entities about forming business entities and mandatory filings. It includes interpreting relevant laws, rules, regulations, and agency procedures.

Responds to emailed questions directed to the Corporate Charter Division. Many of these inquiries are complex, sometimes requiring research into a business entity's history or specific statutes and regulations. Some cases may also need referral to an attorney or other staff members for further resolution. 

Types or word-processes dictated letters, certificates, and other documents related to charter records or business entity information. They also proofread letters and legal certificates to ensure accuracy before distributing them to the public.

Returns documents that do not meet required standards to their senders. This task involves troubleshooting complex filing issues and, at times, ensuring that corrections are made to the charter information database to accurately reflect updates to a business entity’s legal status.

Conducts research on the legal status of business entities or on various legal business transactions that must be documented within the Department.

Verifies the availability of names for new business entities according to Maryland statutes and regulations and provides recommendations to attorneys for final approval.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

Experience in positions related SDAT.

Experience interacting directly with the public (e.g., in-person, by phone, by email, by virtual meeting, etc.)

Experience gathering information from internal staff members and/or external stakeholders.

Experience with Microsoft Office (e.g. Word, Excel, PowerPoint) and Google platforms

LIMITATIONS ON SELECTION

Must be a current SDAT employee. Internal Posting.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
