POSITION DUTIES

Sort, prepare and weigh and place proper postage for outgoing mail.  Sort and distribute institutional mail to appropriate departments.  Using Offender Case Management System and inmate locator files, sort mail alphabetically, opening and inspecting for contraband.  Withhold mail (Incoming and outgoing) in unusual circumstances, where contraband is found and investigations are pending and return other non-contraband items found per DCD regulation.  Locate, log Legal mail and Certified in Legal Books.  Accept and process monies intended for inmates inform of money orders, cashier’s checks and/or certified checks. Preform other duties as assigned.      

  • Sort, prepare and weigh and place proper postage on certified, overweight, oversized, or overseas outgoing mail.
  • Sort and distribute institutional mail to appropriate departments
  • Answering institutional phones, and directing calls to the appropriate department.
  • Sort, record, and verify funds, return if necessary Indigent inmate mail.

  • Using the Offender Case Management System and inmate locator files, sort mail alphabetically, opening, and inspecting for contraband and insure all contents are accounted for by using proper procedures.
  • Withhold mail (incoming and outgoing) in unusual circumstances, where contraband is found and investigations are pending and return other non-contraband items found per DCD regulation.
  • Locate, log Legal mail and Certified in Legal Books.

  • Accept and process monies intended for inmates in form of money orders, cashier’s checks and/or certified checks.  Prepare 30-day hold on checks when needed.  Prepare money order receipts and turn over balance and receipts to Mail Room Supervisor.   

MINIMUM QUALIFICATIONS

Education:   Completion of the eighth grade.

Experience: One year experience performing clerical duties in an office environment. 

Notes:  

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

2. Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.

3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

1. Graduation from an accredited high school or possession of a high school equivalency certificate.
