Introduction

The Maryland Department is accepting applications for the position of Administrative Specialist I. This position is responsible for processing license applications for the issuance of the 25 regulatory Boards and Commissions within the division of Occupational and Professional Licensing. This position is also responsible for answering consumer inquiries through the Consumer Service Center by providing accurate information regarding the Boards and Commission, application and complaints status, and related information in a professional, courteous and timely manner.

Main Purpose of Job

The main purpose of this position is to process license applications for the issuance of the 25 regulatory Boards and Commissions within the division of Occupational and Professional Licensing. This position is also responsible for answering consumer inquiries through the Consumer Service Center by providing accurate information regarding the Boards and Commissions, application and complaint status, and related information in a professional, courteous and timely manner.

POSITION DUTIES

Duties of this position may include, but are not limited to:
  • Process original application, Wells Fargo Lockbox applications and credit card charge backs for 25 licensing boards according to regulations in accordance with laws. Process, verify and coordinate all chargeback payments made through PayPal management system for licensing renewals including identifying electronic transactions with Fiscal Dept. Conduct computer research for trade name validations and proper registration within SDAT, verify compliance with insurance and other licensing requirements
  • Complies Guarantee Fund Report for Maryland Home Improvement, Real Estate and Real Estate Appraiser to reconcile the data monthly
  • Analyze, verify and/or resolve checks for licensees' manual deposits; review, verify and write Summary of Daily Receipts for manual deposits
  • Open and distribute mail daily for licensing boards. Ensures checks received via the mail are logged and processed based the Cash handling procedures.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Six months of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following. Include clear and specific information on your application regarding the qualification(s).

Experience with AS400
Experience with Microsoft Office and/or Google Suite
Strong management and organizational skills
Strong problem solving and extensive attention to detail
Strong interpersonal communication skills
Ability to adapt quickly to change

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (MDOL/DUI) to determine whether any monies are owed to MDOL/DUI as a result of unemployment
overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
