The Maryland Department of Juvenile Services (DJS) is dedicated to transforming young lives, creating safer communities, and fostering equitable systems. We are seeking passionate individuals for the role of Administrative Aide, so come join our team and make a meaningful impact on youth and the community at DJS!

This position is responsible for providing administrative services and support to the Program Supervisor and the Case Management Specialists (CMS) for the Central Region’s Howard County Office. This position is also responsible for managing the day-to-day operations of the Howard County field office.

POSITION DUTIES

Manage Daily Office Functions 
Provides secretarial support by managing and maintaining the office and lending support to the supervisors, including compiling monthly CMS office day duty calendar, and completing typing assignments accurately, completely, and within prescribed time limits. Compose correspondence to include but not limited to court memos, emails, and appointment letters. Coordinates the initial Orientation process for new supervision clients by contacting families, coordinating initial intake meetings, making six-part folders, and gathering pertinent documents. Review and screen telephone communications for CMS and CMS Supervisor.

Intake 
Receive referrals from the Howard County Police Department review ASSIST for prior contact with DJS, and schedule intake docket. Enter intake decisions in ASSIST, type decision letters to victims and arresting officers, copy and mail consent/enrollment to coordinators for anger management/victim awareness/community service programs; and distribute files by either filing or distributing folders to counselors. Compose correspondence when necessary to address special issues involving intake matters.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet the minimum and selective qualifications to be considered. Include clear and specific information on your application regarding your qualifications. 
Candidates for this position must possess two years of experience managing an office in the criminal justice field.

DESIRED OR PREFERRED QUALIFICATIONS

The preferred candidate for this position may possess any of the following qualifications:

  • At least two years of experience working for a senior-level manager, administrator, or executive managing calendars.
  • At least one year of experience working with Microsoft Office Suite.
  • General experience with the ASSIST database.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
