Introduction

This is a position specific recruitment for the Maryland Department of Natural Resources, Information Technology Service. This recruitment will be used to fill current vacancies for the position and may be used to fill future vacancies in the same classification/function. Future vacancies may also be filled via other recruitments. The resulting eligible list will be maintained for one year.

Main Purpose of Job

This position will be an Executive Assistant to Chief of Information Officer (CIO), providing executive-level coordination for many departmental functions. The main purpose of this position is to manage administrative staff work on behalf of the CIO for the Department's Information Technology Services (ITS). Managing the ITS budget, account payables, preparing purchase orders, handling mail, full IT equipment (i.e., laptops, iPads, cell phones, etc.) lifecycle management, assist IT staff with tasks as needed, and purchasing software/ technical services for the entire agency. Additional responsibilities cover standard administrative functions such as the Fiscal Officer, and Human Resource Manager. This position also includes administration of special IT-related activities such as coordinating departmental training in standard office software packages.

POSITION DUTIES

The Administrator I function as a special assistant to the Chief Information Officer (CIO). An employee functioning as special assistant to the CIO is responsible for coordinating agency operations such as executing procurement actions, tracking expenditures, Fiscal Officer, Human Resource contact, assisting IT staff with tasks, researching, writing, and presenting comprehensive reports and memorandums on behalf of CIO; project review, development, evaluation, and coordination.

The Administrator, I must be a strong problem solver with a good aptitude for working with numbers. Strong time management and organization skills are essential as the Information Technology Department receives a high volume of requests. Administrator I, must possess a passion for helping others by providing outstanding customer service to internal and external stakeholders.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years of administrative staff or professional work.

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for each year up to four years of the required experience.

2. Candidates may substitute the possession of a Bachelor's degree from an accredited college or university for the required experience.

3. Candidates may substitute the possession of a Master's degree from an accredited college or university for the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for- year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

  • At least 5 years of demonstrated experience using QuickBooks or similar accounting software.
  • At least 5 years of demonstrated experience in executing procurement contracts, working on an Accounts Payable Team, and assisting IT staff with tasks, researching, writing, and presenting comprehensive reports and memorandums.
  • Excellent written and oral communication skills.
  • Experience working as or for an IT professional.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.
