Main Purpose of Job

This position involves providing secretarial support to an official, administrator or administrative staff. Employees in this classification type on keyboards of personal computers using word processing software. Interprets administrative decisions and policies to staff and transmits instructions with the authority of the supervisor. Relieves the supervisor of operational details by assembling, compiling as summarizing data into a concise form and preparing reports Employees in this classification do not supervise. 

POSITION DUTIES

  • Court Filing: prepares/assist attorney in preparing all legal pleadings to be filed in the court including but not limited to, complaints, petitions and motions needed in Services cases. The incumbent will provide customer service to both internal and external customers that meet or exceeds the standards set by the Department. 

  • Court Preparation: Coordinates with unit attorney and caseworkers all needed documentation required to prepare legal documents including certificates of service, instruction cover sheets and identification sheets. Prepares and distributes child support court dockets, including tracking the scheduling of all cases for enforcement, establishment, or criminal prosecution. Organizes all documentation at pre-court negotiations on court days. Keeps detailed records of actions occurring in court hearings. Assist unit attorney with duties required after court including preparing any needed body attachments, orders, etc. 

  • Clerical Support: Provides any needed clerical support for the unit attorney, Assistant Director, Supervisors', and caseworkers as it pertains to Services. Maintain records of all legal documents and scans all documents into Maryland Electronic Court accordingly. Opens all Services mail and appropriately distributes.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet the selective qualification(s) to be considered. Include clear and specific information on your application regarding your qualifications.

One year of experience as a legal assistant, legal secretary, or courtroom clerk.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

One year of experience with Microsoft Office/Google Suite.

One year of experience with the court filing system like Maryland Electronic Courts (MDEC).

One year of experience in preforming legal research or preparing legal documents on behalf of an attorney.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training, and experience as presented on your application and as they relate to the requirements of the position. You may be asked to complete a supplemental questionnaire.  The supplemental questionnaire may be used as part of the rating process.  Therefore, it is important that you provide complete and accurate information on your application.

For education obtained outside the U.S., a copy of the equivalent American education as determined by a foreign credential evaluation service is required prior to hire.

Personal Leave- new State employees are awarded six (6) personnel days annually (prorated based on start date). 

Annual Leave – ten (10) days of accumulated annual leave per year.

Sick Leave – fifteen (15) days of accumulated sick leave per year.

Parental Leave – up to sixty (60) days of paid parental leave upon the birth or adoption of a child.

Holidays – State employees also celebrate at least twelve (12) holiday per year.

Pension – State employees earn credits towards a retirement pension.

Positions may be eligible for telework.
