POSITION DUTIES
- Provides secretarial/administrative support to the DPP Deputy Director of Administration.
- Opens, sorts, logs daily mail received for the Deputy Director, processing routine general correspondence.
- Answers telephones, providing information regarding community supervision operations and administrative issues; routes calls as necessary to the Director’s Office team or to appropriate parties within DPP and the Department (DPSCS).
- Through use of email, writes/transmits summary of citizen complaints received via telephone to the appropriate DPP executive and management teams. Requests written confirmation as appropriate for complaints and retains a file copy.
- Communicates via telephone or in person with staff in the DPSCS Office of the Secretary and Offices of the Deputy Secretary; executives, managers and supervisors within DPP; and executives, managers of agency partners and stakeholders or designees to convey information and schedule meetings.
- Drafts, types and proofreads correspondence; develops charts/spreadsheets and other illustrative documents as needed for the Director, and Deputy Director, researching information as needed.
- Receives and completes assignments from the Assistant Director, with procurement, human resources and fiscal services as needed.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Five years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Knowledge and experience of the Department of Public Safety and Correctional Services duties.
Experience providing support for committees or workgroup meetings.
Experience working with senior level leadership and the ability to manage multiple projects at a time.
