Main Purpose of Job

The main purpose of this position is to ensure that all DJS travel and event arrangements are met and comply with the necessary requirements, such as budgetary constraints and travel policy. Review and properly code the travel, reconciling CPC monthly reports.
Note: This position is eligible to work a hybrid telework schedule.

POSITION DUTIES

  • Receive all travel and lodging for the assigned Programs/Areas of Headquarter, Community, and Residential – review for accuracy, communicate errors & request corrections within 48 hours of receipt. Communicate all form errors with the traveler. Out-of-state travel – communicate necessary PII to book flight, bus, train, etc.

  • Must contact hotels to make hotel reservations, contact DBM’s Statewide Contracted Vendor for car rentals, train, and bus & flight accommodations for out-of-state routine visits and training.

  • Advise clients of travel arrangements as well as any changes that may occur before the time to travel. Send appropriate Travel Confirmation Packets (travel accommodations) within 3 business days of receiving accurate travel forms to each traveler. Forward travel advancements to Finance and direct any concerns or inquiries to appropriate account personnel.

  • Must submit travel monthly CPC reconciliation packet to the Authorized Reviewer by the 15th of each month (or assigned due date if otherwise directed by Authorized Reviewer). CPC packet must have all receipts and credits. FMIS requisitions and quotes must be in the CPC packet. All purchases must be approved prior to purchasing.

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of administrative staff or professional work.

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet the minimum and selective qualifications to be considered. Include clear and specific information on your application regarding your qualifications.

Candidates must possess at least one year of experience using the State's Financial Management Information System (FMIS) and working with a budget and/or procurement.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications. 

  • At least two years of experience working for a senior-level administrator or executive.
  • Experience interacting with internal and external customers.
  • Experience with card information and transactions for upper management.
  • At least two years of experience working with Microsoft Office Suite (i.e., Word, Excel (tracking), Publisher, PowerPoint, Access Adobe: Illustrator, Photoshop, InDesign, Acrobat, Prezi Presentation).

LIMITATIONS ON SELECTION

This recruitment is limited to current Maryland Department of Juvenile Services employees.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
