Main Purpose of Job

The main purpose of this position is to provide support to the Finance Officer in maintaining budgetary and accounting requirements for this agency. This position prepares reports, reconciliations, maintain fund control ledgers, perform journal adjustments, approve/authorize disbursements and reviews and monitors accounting activity to ensure compliance with internal fiscal policy and Generally Accepted Accounting Procedures (GAAP). In the absence of the Finance Officer provide technical support and management to the fiscal staff. 

POSITION DUTIES

  • Examine and approve procurements, direct vouchers and invoices in the Financial Management Information System.

  • Review and analyze financial system reports, prepare and post FMIS journal voucher adjustments. 

  • Prepare and maintain Excel spreadsheets and logs that accumulate financial information needed to meet local and State reporting requirements. 

  • Maintain fund control ledgers to continuously monitor account activity and ensure funds are available to transact agency business. 

  • Monthly reconcile the agency bank accounts maintaining files and records used to perform reconciliations to meet audit compliance.

MINIMUM QUALIFICATIONS

Education: A Bachelor's degree in Accounting from an accredited college or university, including or supplemented by three credit hours in auditing.

Experience: None

Notes:

1. Candidates may substitute a Bachelor’s degree from an accredited college or university with thirty credit hours in Accounting and related courses, including or supplemented by three credit hours auditing, for the required education.

2. Applicants who have met the requirements for admission to the CPA examination prior to July 1, 1974 will be considered to have met the educational requirement referenced above.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

  • Three months of experience using Microsoft Excel or similar software to create spreadsheets.
  • Three months of experience using Microsoft Word or similar software to create documents or letters.
  • Three months of experience using Gmail or similar email system.

Personal Leave- new State employees are awarded six (6) personnel days annually (prorated based on start date). 
Annual Leave – ten (10) days of accumulated annual leave per year.
Sick Leave – fifteen (15) days of accumulated sick leave per year.
Parental Leave – up to sixty (60) days of paid parental leave upon the birth or adoption of a child.
Holidays – State employees also celebrate at least twelve (12) holiday per year.
Pension – State employees earn credits towards a retirement pension.
Positions may be eligible for telework.
