Main Purpose of Job

This position will act as the personal secretary and assistant to executive staff and their direct reports. This position requires attention to detail, the ability to multitask and prioritize work for multiple staff and ensure timeliness and accuracy. Communication and customer service skills are a must as this position will maintain frequent contacts with public and private executives, professional staff and other officials in state government.

***This is a contractual position with limited benefits***

POSITION DUTIES

Maintains executives’ appointments & calendar schedules ensuring they are up to date and accurate. Notify each executive in advance of upcoming meetings.

Makes in-state and out of state travel arrangements including airfare, hotel, rental car, and registration. Prepares reimbursement expense reports for these requests. 

Types manuscripts, correspondence, tables, charts, graphs and forms. 

Receives phone calls and greets in person visitors. Direct inquiries to the appropriate lowest level agency personnel who can handle the situation/question. Serves as a liaison between the executives and other internal/external staff, stakeholders & vendors. 

Relieves the Executive of operational details that can be handled at a lower level. 

Copying, scanning, faxing documents, as well as taking meeting notes. Process documents for signature. Opens, sorts, reads and distributes incoming correspondence & mail. 

Review requests for importance and appropriateness for executives in participating in conferences, seminars, presentations, and testimony at legislative and public hearings. 

Assist in preparing materials for meetings, both in person and virtual.

MINIMUM QUALIFICATIONS

Experience: Three years working for an executive level director and performing advanced level secretarial work.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to candidates who have the following preferred skills. 

Experience using Google applications at an advanced level in maintaining/updating calendars, setting up meetings and creating documents in Google Drive & sheets. 

Experience using Microsoft Suite applications in creating and maintaining expense reports in Excel, creating documents in Word and presentations in PowerPoint. 

Proficient in routing documents through Adobesign for signatures. 

Experience in making travel arrangements.

Contractual employees who work for an agency and have a current employment contract of 30 or more hours a week (or on average 130 hours per month) will be eligible for subsidized health benefits coverage for themselves and their dependents. View rates on the Department of Budget & Management website, State Employees, Health Benefits, Contractual/Variable rates.

Leave
Paid leave will accrue at a rate of one hour for every 30 hours worked.
