LOCATION OF POSITION
POSITION DUTIES
This position is responsible for providing direct administrative support to the Director of the Leadership Development Institute (LDI), Program Administrators and other staff within the unit. This includes full clerical responsibilities within the LDI Unit.
· Provide administrative/clerical support to the Director,
Program Administrators, and other staff. Assist with logistics, planning,
scheduling, organizing, managing and implementing of programs, initiatives,
awards ceremonies, special projects, etc. for the Leadership Development
Institute.

Maintains important confidential records, schedules staff
meetings, conducts property inventory.
· Creates and maintains electronic files for related LDI
documents in an easy retrievable manner.
·
Prepares requisitions, catering requests,
travel/reimbursements, expense reports, TRAC forms, training requests, program
certificates, completion letters, program approvals, and other related ·forms
as needed.
·
Drafts routine and complex correspondence for Director's
signature.
· Takes and disseminates minutes of LDI-related
meetings.
·
Proofreads and formats outgoing correspondence for
completeness and accuracy for the Director.
· Provides administrative oversight/support of online survey
subscriptions and related uses, copying, scanning, distributing, and filing LDI
routine paperwork.
·
Schedules, organizes, manages, and prepares materials as
needed for executive level presentations.
· Maintains confidentiality, with regards to sensitive and confidential business matters.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Five years performing administrative, secretarial, or clerical work involving typing duties and office technology.
Notes:
1. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.
SELECTIVE QUALIFICATIONS
At least two years’ experience providing administrative support to
senior level leadership and the ability to manage multiple projects at a
time.
At least two years’ experience with Microsoft Office, electronic
filing, scanning documents, Google Workspace (formerly known as G Suite),
mail merge, and on-line surveys and evaluations.
At least one-year experience with data entry, sorting data,
understanding spreadsheets, preparing reports, and generating correspondence.
DESIRED OR PREFERRED QUALIFICATIONS
Excellent command of the English
language, both spoken and written, comprehensive knowledge of grammar conventions,
and attention to detail.
Experience with drafting and
disseminating documents, correspondence, professional emails, and meeting
minutes, on both your own behalf and on the behalf of your supervisor.
Experience assisting with
logistics, prioritization, program planning and organizing, and implementing
programs or initiatives.
Strong reading comprehension and critical thinking skills.
