Introduction

Maryland Public Television, commonly known as MPT, is a public television network that broadcasts throughout the entire state of Maryland and the District of Columbia and into parts of Delaware, Pennsylvania, Virginia, and West Virginia. MPT is Maryland's only statewide broadcaster. Headquartered in Owings Mills, MPT is a member of the Public Broadcasting Service (PBS) and is a producer of both locally and nationally distributed TV programs and digital content.

Main Purpose of Job

Maryland Public Television is looking for a competent Contractual Senior Administrative Assistant to serve as the primary administrative assistant to the Vice President of Development and the nearly 30- person development team at MPT.

POSITION DUTIES

Assist the VP of Development in scheduling meetings/conferences including times, attendees, and room assignments.

Access to the VP of Development's electronic calendar. Set meetings and appointments. Answer phones and take messages for the VP of Development.

Book travel arrangements for the VP of Development and division managers.

Assist VP of Development in answering and writing correspondence.

Create annual and bi-annual contracts for division artists and independent contractors.

Keep abreast of contract end dates and renewals.

Track, pay and verify for accuracy all expense invoices for the Vice President of Development.

Ensure all expense invoices are always up to date and accurate.

Create purchase orders and blanket purchase orders in the State of Maryland Financial Management Information System (FMIS) for division vendors.

Track all purchase orders, purchase order numbers, expiration dates and purchase order amounts in Excel or Google spreadsheets.

Conduct and maintain annual physical inventory for development division.

Track all physical furniture and electronics for the development division. Maintain and submit all required paperwork to the MPT Finance Office. Follow all state of Maryland regulations in disposing of broken and missing furniture and electronics.

Assist the development division with special events which includes securing food for pledge, major and planned giving and the special events teams as needed, ordering office supplies and equipment and physically assisting at live events.

MINIMUM QUALIFICATIONS

Education:  Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience:  Four years of experience with administrative staff or professional work.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following. Include clear and specific information on your application regarding the qualification(s).


Experience with the State of Maryland Financial Management Information System (FMIS).

Experience composing, proofreading, and editing business correspondence.

Experience and proficiency in Word, PowerPoint, and Excel as well as Google. 

Ability to interact effectively with internal and external parties in a courteous and efficient manner.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.

SELECTION PROCESS

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program, have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.

Leave may be granted to a contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.
