Annapolis, MD with some travel

POSITION DUTIES

General Purpose: The Executive Assistant is responsible for providing high-quality administrative support to two Deputy Chiefs of Staff (DCOS) to Governor Wes Moore. The successful candidate will have excellent time-management skills, the ability to work well under pressure and in the face of several competing priorities, and superior interpersonal skills. Previous experience supporting busy executives preferred but not required.

Responsibilities:
  • Scheduling, tracking, and updating internal and external meetings in real-time to maintain a high level of organization – troubleshooting as necessary to keep schedules on track  
  • Receiving and managing phone calls by responding directly, delegating, or otherwise ensuring a response has been handled  
  • Coordinating receipt of briefing or meeting materials  
  • Supporting the preparation of briefing or meeting materials 
  • Greeting guests and visitors promptly and professionally 
  • Assisting with questions, needs, and concerns – both internally and externally – by handling, delegating, or escalating for DCOS attention 
  • Working closely with policy advisors to ensure coordination across the office 
  • Collaborating with the Governor’s front office on items of high priority across the portfolio  
  • Assisting with the planning, coordination, and implementation of special projects, initiatives, briefs, and events 
  • Building and maintaining positive working relationships with stakeholders both within and outside state government, including other government officials, agency heads, staff members, and external partners 
  • Other duties and projects as assigned

MINIMUM QUALIFICATIONS

The successful candidate will have demonstrated many or preferably all of the following:
  • Experience supporting one or more senior level executives  
  • Excellent planning and organizational skills and ability to multitask 
  • Experience meeting multiple deadlines – both short- and long-term – prioritizing tasks and managing time effectively 
  • Identifying opportunities for process improvement and efficiency enhancement in the deputies' office operations and implementing appropriate solutions 
  • Excellent written and verbal communication skills  
  • Stellar attention to detail 
  • Ability to handle sensitive and confidential information with discretion
