Main Purpose of Job

The Office Supervisor is responsible for the efficient handling, sorting, and distribution of incoming and outgoing mail and packages. This role requires attention to detail, strong organizational skills, and the ability to work in a fast-paced environment. 

POSITION DUTIES

  • Sort and distribute incoming mail and packages to the appropriate departments. 
  • Prepare and send outgoing mail and packages using various shipping methods. 
  • Utilize the latest mailing equipment to accurately seal and apply postage to all outgoing mail. 
  • Regularly email customers to notify them when their packages are ready for pick-up, operate mailroom equipment, including postage machines, scanners and UPS World Ship Software. 
  • Implement a streamlined system for tracking all mail and packages delivered to DHS, ensuring each item is logged with its corresponding tracking number. 
  • Maintain accurate records of tracked mail and package deliveries.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years of experience performing clerical duties.

Notes:

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.

3.Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience. 

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

One year of experience and relevant experience in postal management.
One year supervisory experience. 
One year of experience using computer software such as Microsoft Word and Excel or Google Docs and Sheets.

Personal Leave- new State employees are awarded six (6) personnel days annually 

(prorated based on start date). 

Annual Leave – ten (10) days of accumulated annual leave per year.

Sick Leave – fifteen (15) days of accumulated sick leave per year.

Parental Leave – up to sixty (60) days of paid parental leave upon the birth or adoption of a child.

Holidays – State employees also celebrate at least twelve (12) holiday per year.

Pension – State employees earn credits towards a retirement pension.

Positions may be eligible for telework.
