Main Purpose of Job
POSITION DUTIES
- Schedules informal conferences and completes scheduling checklists, prepares and email informal conference confirmation, prepares informal Settlement Agreement (legal binding document) for the informal conference, prepares and posts informal conference schedule.
- Maintains an accurate, up-to-date calendar log of informal conferences, formal hearings, pre-trial conferences, training, staff meetings, supervisor's meeting, and scheduled leaves for all regional personnel.
- Prepares internal and external correspondence as needed by the regional supervisors including but not limited to letters, memos, emails, faxes and other documents.
- Prepares monthly Sick Leave Report for the purpose of recording documented and undocumented sick leave usage and forwards copies to Supervisor and MOSH Personnel Liaison office. Prepares monthly FARS Report.
- Check case files and citations for completeness, conformity and accuracy in preliminary regional review stages. Enter information into the regional case file tracking database before submitting to Regional Supervisor or Operations.
- Run the abatement report and track open abatements and prepare and execute correspondence with employers per the FOM for follow-up inspections. Provide guidance and answer questions and explain responsibilities to employers.
- Receives and verify inspector's OIS time tracking; records information and maintains Summary of Training Attendance records for the purpose of ensuring accurate documentation on inspectors; duties, before submitting to the Regional Supervisor.
- Establishes and maintains a filing system to ensure that all materials (letters, memos, reports, datasheets, etc.) are kept in a central location and to ensure that materials are available and maintained as documentation.
- Verifies and if necessary, corrects calculations on expense reports, before submitting to the Regional Supervisor for signature.
- Other duties assigned by management.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Six months of experience performing administrative staff, clerical, clerical technical, or secretarial work.
Notes:
1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.
2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.
