Purpose

The Accounting Assistant II is responsible for providing administrative and contract management support to the department’s Purchasing Section.

Essential Functions

Accounting and Reporting

  • Process payments into City Financial Management Information System (FMIS) and Redevelopment Authority of the City of Milwaukee (RACM) 4Gov system for contract/purchase order payments.
  • Answer questions related to contract balances and payoffs.
  • Create vendors and encumbrances in FMIS and RACM 4Gov system.
  • Ensure the maintenance of documents related to department contracts including insurance requirements, Affidavits of Compliance, W-9 forms, Small Business Enterprise (SBE) Forms and Living Wage reporting forms.
  • Purchase small dollar items for departmental business.
  • Provide administrative support to Purchasing team.
  • Provide organizational assistance for contracts, including the creation and maintenance of folders, routing contracts for signature, and the distribution of executed contracts.
  • Provide limited clerical support to the section, such as light typing, filing and scheduling of meetings.

Minimum Requirements

  1. Regular status as a City of Milwaukee employee, having successfully completed a probationary period for a civil service position, or status as a City of Milwaukee employee in a fixed term position.
  2. Four years of office support experience, including one year of experience performing accounting and/or bookkeeping work, or other assignments related to the essential functions listed above.

Equivalent combinations of education and professional experience will be considered.

  • Familiarity with the City’s Financial Management Information System (FMIS).

Technical

  • Knowledge of accounting principles and practices.
  • Ability to analyze financial information and perform accurate financial calculations. 
  • Ability to work with computerized accounting systems, spreadsheets, and access database.
  • Ability to accurately maintain numerical and alphabetical filing systems.
  • Attention to detail to ensure accuracy in work.

Current Salary

The current salary range (Pay Range 6HN) is $38,587 annually, and resident incentive salary range for City of Milwaukee residents is $39,744Appointment will be made in accordance with the City of Milwaukee salary ordinance.

Selection Process

THE SELECTION PROCESS will be job related and will consist of one or more of the following: education and experience evaluation; written, oral, or performance tests, or other assessment methods. The Department of City Development reserves the right to call only the most qualified candidates to oral and performance examinations. Oral examinations may include written exercises. Selection process component weights will be determined by further analysis of the job.

INITIAL FILING DATE: The selection process will be held as soon as practical after February 21, 2022. Receipt of applications may be discontinued at any time after this date without prior notice. However, recruitment may continue until the needs of the City have been met.

NOTE: Transfer/Promotional Opportunities and Promotional Examinations are not open to Milwaukee Public Schools employees or to the public. Only current City of Milwaukee employees and civilian personnel in MFD and MPD hired through a City Service Commission process who have successfully passed a probationary period for a Civil Service position or who have status as a City of Milwaukee employee in a fixed term position will be considered. Individuals with exempt, provisional, temporary, or emergency appointments are not eligible for transfer.
