Introduction

Purpose
The Document Technician converts records to digital form and
assists with the operation of the records center by performing functions
related to records transfer, storage and inventory maintenance, basic
arrangement and description of archival records.
Essential Functions
- Prepare, scan and index paper documents and film records for digital preservation, storage and access through the E-Vault System; perform quality control functions to ensure the integrity of records for accessibility and preservation.
- Perform various records center operational tasks, including intake, inventory management and auditing via records management software; appraise and process archival records and destroy and dispose of confidential records.
- Provide customer service to City departments and residents relative to record retrieval from City Records Center (CRC) storage facilities; provide guidance to customers on the use of equipment to view documents.
- Mail notifications on the release of secure structures to architects and structure owners.
- Provide mail services for City of Milwaukee departments, including sorting and routing incoming or interoffice mail and meter operation for outgoing departmental mail.

- Must be able to perform medium physical work, including exerting up to 75 lbs. of force occasionally and lifting and moving objects weighing up to 20 lbs. frequently.
- Must be able to perform physical activities that require sitting or standing for extended periods of time.
- Must be able to climb and carry boxes up and down ladders and place them on shelves.
- Must be able to move large carts, as well as haul and maneuver pallets of boxes.
Minimum Requirements
- One year of experience working in an office, library, mailroom or warehouse environment with direct experience processing documents using scanning equipment.
Desirable Qualifications
- Associate Degree in Business Management, Administrative Professional or a related field from an accredited college.
- Experience in document imaging or records management.
- Customer service experience.
- Experience with mail metering equipment and procedures.
Knowledge, Skills, Abilities & Other Characteristics
- Ability to learn and perform various data entry and quality control functions in records management and document imaging software programs.
- Ability to learn and utilize specialized scanning equipment.
- Ability to learn and utilize administrative and clerical procedures and systems, such as managing files and records.
- Ability to acquire and utilize knowledge of the CRC collections to identify sources of information in order to locate, retrieve and fulfill records requests.
- Ability to learn operating procedures for new and/or unfamiliar information systems, software platforms, and specialized scanning and metering equipment.
- Ability to read and comprehend work-related documents.
- Proficiency with standard computer applications such as word processing and email.
- Ability to accurately communicate information to residents, co-workers and customers of the CRC.
- Ability to effectively document records transactions including general correspondence to CRC customers.
- In-person and remote (phone, email, etc.) customer service etiquette to effectively assist customers.
- Ability to work cooperatively and effectively with coworkers and residents whose backgrounds may differ from one’s own.
- Ability to use judgement in work responsibilities such as when assigning index data to documents when incomplete or ambiguous information is provided.
- Attention to detail and accuracy when performing routine tasks such as quality control, records audit, and alphabetic and numeric sorting.
- Analytical skills to identify opportunities for the provision and/or inclusion of additional information in requests or records description work.
- Ability to plan, organize, and prioritize workload to meet deadlines.
- Ability to work well independently and as part of a team.
- Honesty and integrity and the ability to maintain confidentiality.
Current Salary
The current starting salary (PR 3CN) is $38,205 annually and the resident incentive salary for City of Milwaukee residents is $39,352 annually.

Selection Process
THE SELECTION PROCESS will be job related and will
consist of one or more of the following: education and experience evaluation;
written, oral, or performance tests, or other assessment methods. The
Department of Employee Relations reserves the right to call only the most
qualified candidates to oral and performance examinations. Oral examinations
may include written exercises. Selection process component weights will be
determined by further analysis of the job.
