Introduction

  • Both full-time and part-time Library Circulation Assistant I positions are available at the Central Library and at the 12 branch locations throughout the City of Milwaukee.
  • The Library Circulation Assistant I-Bilingual positions are all full-time and are located at the branches only.
  • Both positions work rotating shifts and incumbents may be scheduled any time between the hours of 9:00 a.m. to 8:00 p.m., Sunday through Saturday.

Purpose

Library Circulation Assistant Is perform customer service functions in a proactive manner at the Milwaukee Public Library (MPL), assisting the public with checkout and registration, charging and discharging library materials, handling book retrieval and searches, entering information into the computer system, and assisting with administrative duties associated with book acquisition.

Essential Functions

Both positions:

  • Staff customer service desks, charging and discharging library materials.
  • Verify, sort, and shelve library materials from the return desk, book drops, sorters, room use, and acquisitions.
  • Read shelves to maintain proper order, and shift and straighten collections.
  • Process materials for and from delivery.
  • Search for and retrieve materials.
  • Collect fines and fees, including handling cash and using Virtual Merchant for credit card payments and refunds.
  • Answer the telephone; respond to general inquiries regarding directions, events, and library services, both over the phone and in-person.
  • Assist the public with library card registration and the reporting and replacement of lost cards.
  • Assist the public with self-service resources, including registering for library cards online.
  • Troubleshoot RFID (radio-frequency identification) tag issues related to the checkout of library materials.
  • Assist with the discarding of old items.
  • Assist with library opening and closing procedures, process new supplies, sort and deliver mail and materials, operate audiovisual equipment, perform photocopying and faxing, compile statistical reports, update records, and train staff as required based upon the assignment.

Library Circulation Assistant I-Bilingual:

  • Provide customer service to both English-speaking and Spanish-speaking library patrons.

Conditions of Employment

  • Work rotating shifts, including day, evening, and weekend hours as assigned.
  • Supply emergency help at other MPL libraries as requested.
  • Lift and move items weighing up to 20 pounds; push and pull wheeled conveyances weighing up to 100 pounds.
  • Work in small spaces, in dusty work conditions, and around noisy equipment at times.
  • Adhere to the MPL dress code policy.

NOTE: Part-time Library Circulation Assistant Is work a maximum of 19 hours per week.
Flexibility in scheduling - including days, evenings and weekend hours - is expected.

Minimum Requirements

Library Circulation Assistant I:

  1. One year of full-time equivalent experience performing customer service or administrative functions closely related to the essential functions listed above.

Library Circulation Assistant I-Bilingual:

  1. One year of full-time equivalent experience performing customer service or administrative functions closely related to the essential functions listed above.
  2. Bilingual in English and Spanish, including the ability to translate written text and interpret spoken language at a basic level.

Desirable Qualifications

Both positions:

  • Previous experience handling cash and credit card transactions.

Knowledges, Skills, Abilities & Other Characteristics

Both positions:

  • Customer service, telephone etiquette, and oral communication skills to effectively assist library patrons and positively represent the library.
  • Interpersonal skills to work successfully with supervisors, fellow staff, and the public.
  • Ability to work cooperatively and fairly with coworkers and patrons whose backgrounds may differ from one’s own.
  • Ability to work well both independently and as a contributing team member.
  • Ability to read and understand work-related documents in English such as policies and procedures, books, and periodicals.
  • Ability to comprehend and follow instructions and library policies.
  • Written communication skills to effectively document information on patron accounts.
  • Knowledge of basic mathematics to assist in performing monetary transactions and compiling statistical reports.
  • Knowledge of cash and credit card handling practices.
  • Data entry skills and basic proficiency with Microsoft Word and Excel, email, and the Internet.
  • Ability to precisely sort information alphabetically and numerically.
  • Ability to perform routine clerical work accurately and rapidly.
  • Ability to maintain accurate records.
  • Ability to plan, organize, and prioritize workload in order to meet deadlines.
  • Ability to be prompt, reliable, and maintain a good attendance record.
  • Ability to analyze and troubleshoot circulation issues for patrons.
  • Ability to exercise discretion, use good judgment, and maintain patron confidentiality.
  • Honesty, integrity, and the ability to safeguard library materials and equipment.

Library Circulation Assistant I-Bilingual:

  • Ability to read, write, and speak in both English and Spanish.
  • Basic ability to translate written text and interpret spoken language between English and Spanish.
  • Ability to provide customer service to both English-speaking and Spanish-speaking library patrons.

Current Salary

The current hourly starting rate (Pay Range 6EN) is $13.59, and the resident incentive hourly starting rate is $14.00.

 

Part-time appointees are not eligible for benefits.

Selection Process

THE SELECTION PROCESS will be job related and will consist of one or more of the following: education and experience evaluation; written, oral, or performance tests, or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to oral and performance examinations. Oral examinations may include written exercises. Selection process component weights will be determined by further analysis of the job.

INITIAL FILING DATE - The examination will be held as soon as practical after Monday, January 11, 2021. Receipt of applications may be discontinued at any time after this date without prior notice. However, recruitment may continue until the needs of the City have been met. Qualified applicants will be notified of the date, time, and place of the examination.

  1. The Written Examination will be held during the week of January 25, 2021 (subject to change).
  2. A Spanish language Proficiency Test will also be conducted for applicants seeking to be considered for the Library Circulation Assistant I-Bilingual position.
