Purpose

As administrative support staff, the Assessment Services Assistant 1 serves the public and City departments by updating and maintaining property ownership and owner address records for properties within the City of Milwaukee

Essential Functions

Administrative

  • Process ownership changes while preserving chain of title by reviewing legal descriptions on property deeds and transfer returns.
  • Perform special projects and tasks, including processing real property exemption data and applications, entering status changes, and updating records for properties with In Rem foreclosures and City sales.
  • Cross train with other administrative support staff to meet the needs of the department during staffing vacancies.
  • Record address changes as required by taxpayers or as requested by Assessor's staff.
  • Proofread written materials to ensure accuracy and correct grammar, punctuation, vocabulary, and spelling.
  • Perform clerical duties such as filing and distributing departmental mail.

Customer Focus

  • Provide prompt, courteous, and customer-focused service, information, and assistance to departmental employees, other city departments, other agencies, and the public.
  • Respond to inquiries from property owners in person, over the phone, and by email.

Minimum Requirements

  1. One year of experience performing office support duties related to the essential functions, such as serving customers, using computers to enter data and prepare documents, and organizing files.

 Equivalent combinations of education and experience may be considered.

Desirable Qualifications

  • Ability to provide interpretation for Spanish speaking clients.

Knowledge, Skills, Abilities & Other Characteristics

Technical

  • Knowledge of office procedures, systems, terminology, and equipment.
  • Ability to read and understand work-related documents such as policies and procedures.
  • Ability to follow instructions given by supervisors.
  • Knowledge of standard software applications to create documents, use spreadsheets, and generate reports.
  • Ability to learn specialized computer applications to query databases and perform other job-related transactions.
  • Ability to perform accurate data entry.
  • Ability to perform basic mathematical calculations.

Communication, Customer Service, and Interpersonal

  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of English writing mechanics and the ability to proofread documents and reports for correct spelling and grammar.
  • Verbal communication skills to be able to convey information clearly and effectively to customers and coworkers.
  • Ability to handle difficult and stressful situations with composure.
  • Ability to work cooperatively and fairly with people whose backgrounds may differ from one's own.

Judgment and Organization

  • Ability to organize and prioritize work in order to meet multiple deadlines.
  • Ability to show initiative and continually improve processes.

Current Salary

The current starting salary (Pay Range 6GN) is $44,909 annually, and the current resident incentive starting salary for City of Milwaukee residents is $46,256 annually.

Selection Process

THE SELECTION PROCESS will be job related and will consist of one or more of the following: an evaluation of education, experience and/or responses to supplemental questions; a written or performance test, a structured interview or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to structured interviews and performance examinations. Structured interviews may include written exercises. Selection process component weights will be determined by further analysis of the job.
