Purpose
The Vehicle Service Writer provides administrative and
operational support for the Fleet Repairs Section.
Essential Functions
Administrative Functions
- Perform administrative and data input tasks relative to the maintenance and processing of equipment, maintenance, and time records.
- Enter and maintain equipment records in the fleet maintenance information system.
- Create vendor service orders and establish contact with outside vendors.
- Maintain records for public passenger vehicle (taxi) inspections.
- Review work orders and other documents for accuracy; make corrections and create records for all new vehicles and components in AssetWorks.
- Complete payroll entries for the mechanics assigned to the light and heavy garages.
Repair Operations
- Communicate equipment repair status across various departments and multiple shifts, and between Fleet Services and other departments and sections.
- Coordinate repairs and preventive maintenance inspections (PM's) scheduled for repair locations.
- Contact departments and vehicle operators to ensure timeliness of PM’s to be conducted, and correct diagnosis of repairs.
- Assign work tasks, open repair work orders, and issue service orders.
- Generate, assign, follow-through and finish repair work orders.
Snow and Ice Control Operations
- During snow and ice control operations, coordinate repair activities at an assigned outlying garage.

Conditions of Employment
The Vehicle Service Writer must be willing and able to:
- Work variable and extended hours to meet the City’s needs during weather-related events and other emergencies that may include evenings, weekends, and holidays.
- Be subject to mandatory call-in for emergency duty during non-standard business hours.
- Lift and move up to 10 pounds unassisted on occasion.
Minimum Requirements
- Three years of administrative experience, including one year of experience as a service writer in an automotive or truck maintenance or repair facility.
- Valid driver’s license at the time of appointment and throughout employment.
Equivalent combinations of education and experience may be considered.

Knowledge, Skills, Abilities & Other Characteristics
Technical
- Knowledge of basic automotive systems and related repairs and maintenance practices.
- Ability to learn and effectively utilize the City of Milwaukee’s payroll time entry systems.
- Knowledge of administrative support methods, systems, and terminology.
- Ability to learn and apply personnel policies, Milwaukee Code of Ordinances, Civil Service Rules, and the City’s Salary Ordinance.
- Ability to learn and efficiently utilize departmental systems and databases.
- Ability to read and understand work-related documents such as government regulations, departmental policies, and city ordinances.
- Proficiency using Microsoft Office Suite, including spreadsheets and word processing.
- Ability to be detailed and highly accurate in completing forms.
Interpersonal and Communication
- Verbal communication skills to share information and respond to questions clearly in person and over the phone.
- Written communication skills to prepare clear and concise business correspondence and reports, including the ability to proofread the work of others.
- Knowledge of customer service best practices and the ability to incorporate them into operations.
- Ability to maintain effective working relationships with all stakeholders, including the public.
- Ability to work independently and cooperatively in a team-oriented environment.
- Ability to work cooperatively and fairly with people whose backgrounds may differ from one's own.

- Ability to plan, organize, prioritize and complete work to achieve objectives in a timely manner, within deadlines and with limited supervision.

Current Salary
The current salary range (Pay Range 7EN) is $61,125-$78,761
annually, and the resident incentive salary for City of Milwaukee Residents
is $63,571-$81,911 annually. Appointment above the minimum is possible
based upon level of experience and other qualifications and is subject to
approval.
In accordance with the City of Milwaukee Salary Ordinance:
- Employees will receive an additional 3% when performing special assignments.
- Employees will receive an additional 5% biweekly when performing Lead Worker duties.

Selection Process
THE SELECTION PROCESS will be job-related and will consist of one or more of the following: an evaluation of education, experience, and/or responses to supplemental questions, a written or performance test, a structured interview, or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to structured interviews and performance examinations. Structured interviews may include written exercises. Selection process component weights will be determined by further analysis of the job.
