Appointment Type:

Temporary Exempt (TEX) position is excluded by the Charter from the competitive civil service examination pursuant to San Francisco Charter Section 10.104. Exempt employees are considered “at will” and shall serve at the discretion of the Appointing Officer.

Position Description:

Under supervision, the Public Service Aide to Professionals will assist in the performance of a variety of duties related to the functions of the Human Resources office. Duties may include: performing complex tasks on a limited basis in direct support of professional and skilled staff; researching and compiling data; assisting in the preparation of reports and documents; assisting in the implementation of programs; answering telephones, taking messages and transferring calls; sorting materials; assisting in ordering, receiving and distribution of office supplies; and other duties as assigned.


Duties and Responsibilities:


1). Greeting and providing information to staff and the public, answering inquiries in person, phone or email; processing incoming mail, maintaining and logging submitted job application material.


2). Composing, proofreading, and editing various documents such as letters, memos, reports, employment opportunity announcements and emails distributed to individuals, groups, or Library system-wide.


3). Performing functions in relation to Library’s recruitment and selection process including scheduling interviews by contacting candidates via phone and/or email, arranging set-up of location for interviews, coordinating with IT to set up media/phone equipment.


4). Compiling data and preparing a variety of reports; preparing and submitting Purchase Orders for the HR Office.


5). Assisting with the preparation of documents and reassignment announcement postings.


6). Assisting and providing clerical/admin support to Library Human Resources Director, Human Resources Analysts, Training Unit, and the Payroll Unit.


7). Assisting with the preparation of various HR related events such as Staff Recognition, Service Pins Ceremony, Staff Holiday Event, etc.


8). Working closely with technology such as eMerge and Microsoft Suite.


9). Assisting in ordering, receiving, stocking and distribution of office supplies. 


Note: This is a part-time position. Based on operational needs, you may be required to work up to 39 hours per week.

Minimum Qualifications

1). High school diploma or equivalent (GED or High School Proficiency Examination) 


2). Six (6) months (1000 hours) of clerical support and customer service experiences in an office environment.

• Experience in exercising tact and maintaining poise in answering inquiries via phone, email and in person
• Excellent computer skills
• Excellent oral and verbal communication
• Excellent phone etiquette

Selection Plan

Applications will be screened for relevant qualifying experience. Additional screening mechanisms may be implemented in order to determine candidates’ qualifications. Conviction History

As a finalist for a job, you will be fingerprinted, and your fingerprints will be sent to the California Department of Justice (DOJ) and the Federal Bureau of Investigation (FBI). The resulting report of your conviction history (if any) will be used to determine whether the nature of your conviction (or arrest, in limited circumstances) conflicts with the specific duties and responsibilities of the job for which you are a finalist. If a conflict exists, you will be asked to present any evidence of rehabilitation that may mitigate the conflict, except when federal or state regulations bar employment in specific circumstances, such as:

  • Candidates applying for positions with the Unified School District and the Community College District may be disqualified from consideration should their conviction history not meet the standards established under the California Education Code.

Disaster Service Workers
