DEFINITION

Under immediate supervision, learns routine technical work in ordering, receiving, issuing, and stocking of automotive and heavy equipment parts; learns how to maintain inventory; and does related or other work as required in accordance with Rule 3, Section 3 of the Civil Service Rules.

CLASS CHARACTERISTICS

This is the entry/trainee level in the Fleet Parts Specialist series.  Incumbents of this class are trained to order, receive, and issue parts for both automotive and heavy equipment and learn how to process and maintain an accurate inventory control system.  As experience is gained, incumbents are expected to perform duties more independently.

TYPICAL DUTIES

  • Learns how to research, order, and receive automotive and truck parts, supplies and equipment; answer telephone inquiries on item status, price and description for County fleet services. 
  • Learns and assists on how to inspect parts, supplies and equipment for quality, quantity and correctness; verifies and checks items received against parts catalogs and manufacturer’s identification model or parts number. 
  • Learns how to maintain continuous contact with inventory suppliers and vendors; researches and locates resources for non-standard parts and special equipment. 
  • Learns how to maintain and update vendor lists in order to determine the appropriate source for parts, tools and equipment. 
  • Learns how to monitor stock levels and updates inventory records or status of items; maintains inventory of items by performing routine physical inventory; maintains manual and computerized records, files and reports of stock received and issued. 
  • Assists with checking incoming deliveries to determine if any are damaged, if the quantities are correct, and if the quality meets specifications. 
  • Learns how to collect specifications and prepare purchase orders for supplies.

MINIMUM QUALIFICATIONS

Experience: One year of experience that included ordering, purchasing, receiving, storing, issuing, or maintaining automotive parts, equipment, accessories or supplies.

License: Possession of a valid California driver’s license.

KNOWLEDGE

Wide variety of parts used in fleet services; basic principles of inventory requisition and control; automotive parts, equipment, accessories, and tools used in vehicle repair and maintenance; vehicle repair and maintenance procedures and terminology; stock and inventory control records; record-keeping systems; techniques of receiving, storing and issuing supplies; personal computer systems and general office computer software; automotive parts and equipment suppliers and vendors; basic research and filing techniques and operation of standard equipment; safe methods of lifting heavy objects.

ABILITY

Read, understand, and interpret shop manuals and parts lists; read and interpret parts specifications; utilize standard office procedures and equipment; operate computers and related software and apply computer applications to departmental functions communicate effectively, both orally and in writing; establish effective working relationships with others.

PHYSICAL/MENTAL REQUIREMENTS

Mobility – ability to sit or stand for long periods, move about an office, reach above and below desk or counter level including overhead lifting; Lifting – regular lifting of parts, equipment and supplies weighing up to 70 pounds; regular carrying of parts, equipment and supplies weighing up to 50 pounds; Visual – ability to read paperwork and computer screens; good overall vision, color perception, depth perception; frequent reading and close-up work; normal hand and eye coordination; good field of vision/peripheral; Dexterity - frequent holding, reaching; grasping; frequent repetitive motion; frequent writing; Hearing/Talking – frequent hearing of normal speech; occasional hearing/talking on the telephone, talking in person; Emotional/Psychological – occasional public contact; frequent ability to make decisions and concentrate, working alone; occasional exposure to hazardous materials; occasional dealing with emergency situations; Special Requirements – may require working overtime, weekends, nights and holidays; occasional travel; Environmental – frequent exposure to dust, grease, oil, various chemicals, fumes, and noise associated with working in repair shop environment in the motor vehicle industry.
