Under general supervision, performs a combination of specialized tasks related to the effective scheduling of surgeries, to include coordination of inpatient and outpatient surgical services and supplies; scheduling operating rooms, physicians, and other related resources; maintaining a database of schedules and procedures; and does related or other work as required in accordance with Rule 3 Section 3 of the Civil Service Rules.
CLASS CHARACTERISTICS
The Surgery Resource Specialist is distinguished by its responsibility to perform duties solely focused on scheduling surgeries to achieve optimal use of operating rooms and other resources, whereas incumbents in the Hospital Unit Clerk classification provides general clerical support in a patient care or treatment area. This class receives direction from the Perioperative Services Director, nurse managers and supervisors, and physicians.
TYPICAL DUTIES
Schedules inpatient and outpatient planned, add-on, and emergency/trauma surgical procedures; determines order of procedures based on type and time needed; coordinates essential equipment, instrumentation, and other related supplies in order to optimize operating room usage; creates and updates surgery status for outpatient encounters.
Maintains tracking board and master surgery calendar for physicians; compiles daily and weekly perioperative staff call schedules; maintains department employee phone list and vendor representative phone list.
Procures required surgery equipment, supplies, and support to include regularly contacting outside vendor and representatives confirms physician privileges for surgical procedures.
Prepares patient charts and pre-operative packets; prepares medically necessary documents for urgent surgery cases.
Communicates special needs for the surgical cases and makes patient status updates to nurse managers and supervisors.
Greets and directs physicians, vendor representatives, and other visitors to the operating suite and ensures adherence to dress code policy for entering sterile environment.
Prepares anesthesia and attending physician billing forms for each surgery; ensures post-operative documentation and required forms are completed and distributed to the appropriate parties.
Maintains files, records and databases regarding surgery schedules, and backup logs pertaining to pending surgeries.
Receives incoming calls on designated phone lines and handles or refers calls to appropriate staff; receives and distributes mail; enters data into computer software, updates logs, and generates regular reports; perform other clerical tasks in support of pre- and post-operative processes.
MINIMUM QUALIFICATIONS
Education: Possession of a high school diploma or equivalent.
Experience: Two years of work experience in a healthcare setting to include direct responsibility for medical services scheduling and direct contact with physicians and patients that required the knowledge and use of medical terminology.
KNOWLEDGE
Medical terminology, methods and procedures; modern office practices and procedures and the operation of standard office equipment; customer service principles, which include interacting with people under stress and distress; best practices related to medical client services, interactions, and handling of information; computer applications such as word processing, spreadsheet, and databases.
