Introduction
This
is highly responsible work in digitization and electronic document management. Bargaining unit position.
Nature Of Work
The employee in this class is responsible for digitization,
processing electronic documents and managing the quality assurance of all scans
produced for the municipal records center.
Work is of more than average difficulty and includes responsibility for
reviewing electronic documents to insure accurate scanning and processing.
Under general supervision, the employee is responsible for maintaining the
scanning equipment, troubleshooting problems with the scanning equipment, and
resolving any production issues that may occur. The employee performs ECM
(Enterprise Content Management) tasks to make sure all electronic documents are
being stored and maintained correctly. Reasonable initiative and independent
judgment are required, and it is extremely important that the employee be
meticulous since the scanned document becomes the official record. Employee may
have lead worker responsibilities. Work is reviewed through observation and
evaluation of quality control.
Examples of Duties
Operates and trains others on a variety of scanning
equipment and computer programs; verifies accuracy and legibility of scans; performs quality control tests;
notifies operators when necessary to re-scan; makes sure electronic records are
assigned retention schedules and performs special tasks such as maintaining the
departmental web pages.
Inspects all
equipment periodically, follows maintenance schedules and determines repairs as
necessary, and works with vendors when needed.
Prepares equipment for hurricanes and other disasters and actively
participates in disaster recovery.
Assists and directs other employees; checks the work of
others to ensure conformance to instructions, procedures, and work methods.
Provides regular reports of work performed and accomplished.
Troubleshoots issues with computers and equipment and
provides suggestions for resolving issues and improving workflow.
Performs related work as required, such as but not limited
to: designing posters for exhibits, maintaining departmental web pages, and
photographing special events.
Knowledge, Skills & Abilities
Working knowledge of: Various computer programs, Enterprise Content Management (ECM), quality control, digitization standards, records management and retention schedules.
Ability to: Operate and maintain scanning equipment; handle confidential material with utmost discretion; communicate knowledgeably with coworkers and vendors and maintain effective working relationships with others.
Skill in: Operation and maintenance of equipment utilized.
Physical Requirements
Ability to lift 40-60 lbs., mostly sitting and standing; a combination of working indoors and outdoors. Requires the use of computer, typing and viewing a monitor.
Minimum Qualifications
Graduation from an accredited high school or vocational
school and one (1) year of scanning and/or records management experience with
preferably six (6) months in advanced information technology experience; or an
equivalent combination of training and experience.
Examination
Evaluation
of education and experience. Drug testing is included in all
pre-employment processing.
Comments
Employees
may be required to work rotating shifts, including nights, weekends, holidays
and overtime as needed. During periods when the Mayor issues an emergency
declaration for the City of Tampa, all employees may be required to work in
preparation, response or recovery activities related to the stated emergency.
