This is work involving exhibit services coordination, fiscal
services, and related duties at the municipal convention center.
The employee in this class is responsible for performing tasks of
average difficulty related to fiscal services and exhibit service activity.
Under general supervision, the employee is required to exercise reasonable
initiative and independent judgment in coordinating activities related to the
lessee needs. Financial skills are essential for carrying out job functions
such as processing payments, account and Pcard reconciliation, securing event
insurance, and remitting sales tax. The
exercise of considerable tact and courtesy is also required in dealing with
clients of the Tampa Convention Center and the public. Positions may be either
part-time or full-time and may require that work be performed on weekends and
holidays and during irregular hours. Work is reviewed through conferences,
reports submitted, and observation of results obtained.
Works with other departments/divisions to ensure event requirements are met prior to and during events such as conventions, trade show, or public shows.
Processes rental and ancillary payments and records monthly commission by event in event software system.
Requests proof of event insurance from clients and ensures City requirements are being met
Reconciles purchasing card transactions and secure proper support documentation.
Reconciles the daily interface between TCC’s fiscal system (Ungerboeck) and the City’s fiscal system (Oracle); reconciles City’s bank and credit card statements to TCC’s fiscal system.
Oversees the ordering and payment processing of Paramedic and Fire Watch personnel.
Provides weekly and monthly reports for event personnel and event activity to outside agencies and businesses.
Processes the monthly remittance of sales and use tax to the DOR.
Researches and records external events impacting TCC to the event calendar.
Assists with fielding phone calls from the main TCC extension, office equipment issues and coordination with the City’s T&I Department as needed.
Explains services available through the center as needed, prepares exhibitor kits for such services as electricity, internet, audio-visual, telephones, sound and lighting, utilizes computer applications to complete daily tasks and projects as assigned.
Performs related work required.
Working knowledge of: standard office practices and procedures, including
record keeping; basic accounting skills.
Some knowledge of: operation and capabilities of personal computers;
standard building operation and maintenance; utility service; graphic design.
Ability to: maintain records and prepare clear and accurate reports;
establish and maintain effective working relationships with other employees,
lessees and the public; operate personal computers for technical or engineering
calculations and record keeping.
Graduation from an accredited high school or vocational school and two (2) years of clerical office experience which includes a customer services component; or an equivalent combination of training and experience.
Possession of a valid driver’s license required.
During
periods when the Mayor issues an emergency declaration for the City of Tampa,
all employees may be required to work in preparation, response or recovery
activities related to the stated emergency.
