Introduction
This is responsible administrative, office support and research work performed for an elected member of City Council.
Nature Of Work
Employees in this class perform a variety of administrative, office, and research functions of considerable difficulty as aides to, and under the direction of, an elected City Council member. Work is performed independently requiring considerable initiative and independent judgment due to the highly responsible, confidential nature of matters addressed at this level by elected council members. Work products are often used in policy making and legal proceedings, necessitating a high degree of accuracy and completeness. The ability to screen correspondence and visitors and to establish priorities based on an acquired knowledge of the preferences of the council member and of the administration and operation of the City Council is critical to operational effectiveness and maintenance of positive public relations. Work is reviewed through conferences, observation, reports submitted, and results achieved. This is an appointed unclassified position.
Examples of Duties
Participates in information searches and compiles data on assigned projects and issues to provide council member with background data and to assist in management of details. Serves as an administrative liaison and meets with representatives of the media, officials of other governmental agencies, and the general public; gives out information pertaining to current issues consistent with policy and direction of the council member served. Screens callers and visitors; receives and responds to complaints and inquiries; makes appointments as appropriate; routes calls and visitors to city departments or to other organizations as appropriate to respond to their needs. Maintains schedule of appointments, meetings, and other events and apprises council member of schedule; composes correspondence independently or from general outline; types reports and administrative forms; maintains files; attends meetings and conferences as council member representative. Prepares reports and correspondence; participates in managing unit budget and work processes. Performs related work as required.
Knowledge, Skills & Abilities
Considerable knowledge of: modern office practices, procedures and equipment; business English, spelling, grammar, and arithmetic.
Ability to: establish and maintain effective working relationships with city officials, department directors, managers and employees, representatives of other agencies, and the general public; communicate clearly and accurately; deal with public relations needs in an effective and courteous manner; maintain complex and confidential files; perform a variety of routine office support activities.
Skill in: use of a typewriter, computer software and other standard office equipment.
Suggested Minimum Qualifications
Graduation from an accredited high school, supplemented by courses in business or public administration and three (3) years of experience of a responsible nature involving specialized office or administrative tasks, including secretarial and public contact work; or an equivalent combination of training and experience.
Licenses or Certifications
Possession of a valid Florida driver’s license required.
Comments
During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
