Prepares notifications to Human Resources of changes in individual employee status, deductions, etc.
Prepares Request for
Position Change forms as needed; maintains status report on all actions.
Distributes
evaluation lists; processes and distributes evaluation forms to ensure
compliance with processing schedule.
Processes injury reports,
verifies for completeness and forwards in a timely manner.
Reviews personnel forms for completeness and
accuracy using computer to access basic personnel information as needed;
reviews personnel actions being taken in order to determine appropriate pay
with regard to salary review dates, class title, etc.
Prepares and maintains
employee files; requests needed personnel file documents and materials;
responds to inquiries from others regarding procedures, needed information;
responds to inquiries from employees regarding their status, status changes,
and other matters; participates in drafting/revising policies and procedures,
giving comments verbally and/or in writing.
Researches personnel
policies and procedures to provide information to others; researches employee
files and records to secure information requested or needed, usually to answer
a specific question; researches personnel policy and procedures, bargaining agreements,
personnel files, etc., to determine correct pay status adjustments for
employees, using computer to access data as necessary.
Calculates
severance pay due to separating employees to verify/determine amounts entered.
Provides
basic orientation to new part-time employees on such items as benefits forms to
be completed, reporting time and workplace.
Notifies
employees of approval for change in insurance status; routes completed
authorizations for employee pay/status changes to Human Resources.
Oversees and reviews work
of lower-level Personnel Assistants and others.
Performs related work as
required.
Considerable
knowledge of: standard office
practices and procedures utilized in the assigned area; municipal organization,
programs and policies.
Working knowledge of: modern public personnel administration principles and practices;
personnel policies, procedures and union contracts, and the ability to apply
this knowledge to the processing of personnel transactions; laws, rules, and
regulations pertinent to municipal personnel/payroll processing; PeopleSoft.
Ability to: understand and follow complex oral and/or written
instructions; work independently and complete activities assigned; train others
in a variety of clerical assignments; establish and maintain effective working
relationships with other employees and the general public; detect errors,
maintain accurate records, conduct research of files and records, and prepare
reports.
