An employee in this class performs a variety of advanced complex
senior level clerical work of a specialized nature in the Office of the
Mayor. Under general supervision, employee receives instructions orally and in
writing to provide comprehensive administrative support requiring the exercise
of reasonable initiative and independent judgment. Work is reviewed while in progress and upon
completion through observation, reports submitted, and results obtained. Appointed position.
Serves as a lead in the absence of the supervisor; provides training
to other employees; assists in the review, evaluation and delegation of
subordinate work assignments.
Respond to public inquiries; screen calls; act as liaison
between citizens, staff, and management; complete incidental paperwork and
organize information.
Greet and direct visitors to the Mayor’s office.
Assist citizens on behalf of the Mayor by responding to
concerns via phone or the Customer Service Center.
Respond to
complaints while establishing and promoting effective relationships with the
public, municipal officials, and other employees; explains functions and
services of municipal departments.
Prepare a variety of written correspondence on behalf of the
Mayor; proof and amend correspondence routed to the Mayor’s office by City
departments to ensure consistency is maintained with established standards;
distribute outgoing correspondence.
Process payment for invoices and reconcile visa charges.
Maintain
schedules, logs, process records and ensure tracking via records management system;
sort and distribute mail.
Performs related work as required.
Considerable knowledge of: business English and mathematics;
standard office practices, procedures, and equipment; use of computers.
Working knowledge of: rules, regulations, procedures, and
functions of the assigned area as well as appropriate municipal codes,
ordinances, resolutions and regulations, organization, programs, and policies.
Ability to: understand and follow complex oral and/or
written instructions; prepare clear and concise written reports; maintain
complex records; edit and correct correspondence and reports for final
production; meet the public; establish and maintain effective working
relationships with others.
Ability and skill in: operation and minor maintenance of office
machinery and equipment; keyboarding and operating computer accurately.
