Licensing specialists are responsible for reviewing license
applications and related requests for renewal, transfer, or other action. Primary
work involves evaluating license requests and relevant documentation to
recommend approval or rejection in compliance with applicable laws, rules,
regulations, and established deadlines. Employees also provide guidance and
customer service to licensees, licensed agents, the public, or others on
licensing, permitting, or related services.
Nature and Scope
Employees evaluate, process, and
review information to ensure its accuracy, completeness, and authenticity, and
resolve any issues that may arise. In addition, employees provide information
and guidance to licensees and the public on licensing requirements,
procedures, or related services. Work is performed in compliance with
established deadlines and in compliance with applicable laws, rules,
regulations, standards, policies, and procedures. Employees assure effective office
workflow including following up and tracking information on requests and
resolving issues relating to procedures and deadlines. Work also requires the
regular use of office equipment, automated information systems, and computer
software.
Employees receive general supervision
from a technical supervisor; the supervisor provides general direction on all assignments
and regular review of progress, accuracy, and quality of work. Supervisory
advice or assistance is provided as needed.

Coordinates, maintains, and reviews license applications and
related requests (permits, stamps, and passes) for renewal, transfer, updates,
or other action within established timeframes.
Receives, evaluates, and processes applications, forms, or
other documents for completeness, accuracy, and authenticity and approves or
recommends approval/denial of requests.
Applies and explains applicable laws, rules, regulations,
standards, policies, and procedures.
Delivers excellent customer service in-person, electronically,
or by written communication; provides information and guidance on licensing
requirements, fees, procedures, or related services.
Ensures appropriate notices, forms, and documents are issued
to licensees or applicants.
Researches and resolves customer account, payment,
processing, or other issues.
Performs fiscal work such as computing and collecting fees;
maintaining fiscal records and receipts; and making bank deposits.
Uses automated information systems and computer software to
enter, update, modify, delete, retrieve, and report on licensing, permitting,
and related data.
Performs office support activities such as preparing and
distributing correspondence, billing, payment, or other documents; or organizing
and drafting information and materials for office or public use.
Creates and maintains a variety of systems, logs, and
records to facilitate the proper filing, tracking, and retrieval of files,
documents, reports, and other information.
May supervise casual/seasonal and/or contractual staff. The elements of supervision include performing the following on a regular and continuing basis: planning, assigning, reviewing, evaluating, coaching, training, disciplining, and recommending hire, termination, and promotion.
Performs other related duties as required.

Job Requirements
JOB REQUIREMENTS for Licensing Specialist Applicants must have education, training and/or experience demonstrating
competence in each of the following areas:
One year of experience in
document processing such as reviewing and evaluating records for
completeness and conformity with laws, rules, regulations, standards,
policies, and procedures, resolving deficiencies, and tracking and
monitoring activities.
One year of experience in record
keeping such as maintaining, filing, tracking, and retrieving physical,
electronic, and digital documents, reports, or other information.
One year of experience in
customer service such as providing prompt, accurate, and courteous service
to customers seeking information, answering requests as quickly as
possible, ensuring customers are satisfied with service, and responding to
complaints.
One year of experience in using
an automated information system to enter, update, modify, delete,
retrieve/inquire and report on data.
