PRIMARY FUNCTIONS

This is a professional position managing the library’s automated circulation and patron registration system and the supervision of the overall operations of the circulation department at the main library.

Under the direction of a Public Services Administrator plans for the technical development of circulation and systems-related functions, establishes procedures and policies. Supervises staff in the maintenance and public engagement assigned circulation-related functions. This includes the use of displays, lists, programs, and outreach designed to increase membership of the library and circulation of library materials. Work is reviewed through scheduled check-ins and observation of results.

 

TYPICAL DUTIES AND RESPONSIBILITIES

  • Works with the acquisitions and technical services librarians to efficiently utilize the library’s integrated circulation system.
  • Plans and manages the circulation of library materials and the registration of borrowers.
  • With senior staff, develops and executes initiatives and implement circulation polices that are designed to increase usage of the Library.
  • Establishes procedures, assign tasks and schedule staff to carry out the work of the department.
  • Establishes procedures for overdue, damaged or lost materials, and for processing any funds received.
  • Prepares statistical and narrative reports.
  • Acts as liaison with other libraries regarding circulation functions.
  • Keeps track of vacation and meeting schedule for Circ Dept. staff members in order to insure proper coverage at all times in all areas.
  • Assists in interviews, hiring, and training of Library staff.
  • Completes regular performance reviews of Circulation staff.
  • Is aware of all events, shows, classes taking place at the Library and disseminates that information to all members of the Circulation staff so they can respond to any questions the public may have and be able to register interested patrons.
  • Trains new Circulation staff, creates and maintains manual and other necessary training materials for new employees. Cross-trains public service desk staff as necessary on the policies and procedures necessary to circulation processes.
  • Holds a Circulation Department meeting once a month to go over changes, discuss problems, etc. Communicates with administration to address issues or concerns.
  • Oversees the preparation of all notices and announcements that address global circulation functions such as placing holds or checking high demand holds. Oversees the maintenance of effective material placement and aesthetics of library displays and signage in circulation areas.
  • Supervises the creation of weekly or monthly reports (Cash Register Reconciliation, Lost and Paid Reports, Claims Returned Reports, Trace Reports) as needed.
  • Supervises communication with patrons concerning items related to the circulation experience at the Library. Works to make library materials accessible for all including those who speak languages other than English, and those with disabilities.
  • Assists in planning and attending outreach events to promote library card sign-ups and circulation.
  • Performs other related work as required.

EDUCATION, QUALIFICATIONS & EXPERIENCE

Completion of a Master’s Degree in Library Science from a graduate program accredited by the American Library Association; supplemented by masters level courses Information Technology; and a minimum of three years of supervisory experience in a professional, customer service driven environment, and the following knowledge, abilities and skills.

KNOWLEDGE, EXPERIENCE, SKILLS & ABILITIES

  • Knowledge of the principles and practices of library science.
  • Knowledge of library circulation services and library administrative procedures.
  • Knowledge and ability to train and implement effective customer service practices
  • Proficiency in library computer applications and general working knowledge of other interfacing departmental applications.
  • Experience with on-line automation and database systems.
  • Ability to apply the principles of library science to solve practical problems.
  • Ability to evaluate and recommend new technologies.
  • Ability to train and supervise support staff.
  • Ability to present clear, concise and understandable oral and written reports.
  • General knowledge of integrated software such as Microsoft Office and its applications, including Word and Excel.

SALARY, BARGAINING UNIT & TERMS OF EMPLOYMENT

This position is included in a collective bargaining agreement with Local 3144, American Federation of State, County and Municipal Employees, available to review HERE.

This is a General Fund, "Non Tested" position.
