Summary
This position is responsible for supporting the Fleet Maintenance Division within the Aviation Department. The service writer is an integral part of the Fleet Maintenance team that assists the Shop Supervisor and Fleet Manager with a variety of job functions including scheduling, reporting, and assigning work to technicians.
General Information:
• Works 8-hour assigned shift five days per week. Shift subject to overtime, change and emergency/urgent calls back to work.
• Certain convictions within a 10-year period would prevent unescorted access and therefore deny employment.
• Vehicle Maintenance Facility offers heated and cooled work area with good lighting and other facility amenities.
Major Duties and Responsibilities
1. Scheduling maintenance work on airport operated vehicles and equipment; including calling/emailing other departments to ensure work is scheduled in a timely manner
2. Compiles Daily Vehicle Reports for Senior Level Management
3. Assigning work to technicians as required
4. Prepares legible and complete work orders by asking good diagnostic questions to identify customer needs and records the information accurately.
5. Enters the details of repair work within fleet software system (FASTER) to ensure accurate records are being kept
6. Arranging service/warranty work to be completed through third party vendors
7. Managing P-Card expenses and submitting monthly reconciliation reports
8. Maintains vehicle keys and logs to include Pool cars.
9. Prepares a variety of reports and specific customer notifications.
10. Prepares new vehicle files along with removal of files in preparation for storage.
Knowledge, Skills & Abilities
• Computer literacy required, proficiency in Microsoft Office with high concentration in Microsoft Excel
• Must have outgoing, friendly personality and superior communication & customer service skills
• The ability to understand and relate technical issues to technicians from customers that provide non-technical descriptions.
• Ability to prepare and maintain work records and routine reports.
• Ability to follow oral and written instructions.
• Ability to communicate effectively both verbally and in writing.
• Excellent math, data entry and computer skills
• Good conflict management skills and the ability to work as a team member and team leader with employees and other city agencies
• Ability to work with minimal supervision

Preferred Qualification
Prefer graduation from an accredited community college, vocational or business school with emphasis in business administration and/or in general automotive, or an equivalent combination of education and relevant work/industry/military/job specific experience that provides the necessary knowledge, skills and abilities to successfully perform the essential job duties. ASE Service Consultant Certification Preferred. Experience in Microsoft Office, Outlook, Word and Excel Required. E-Builder and Munis experience preferred.
The Ideal candidate will have proven work experiences as a service writer or similar role. They will have an extensive knowledge of office software programs, in addition to having excellent communication and customer service skills.
Minimum Qualifications
High School Graduate or Equivalent and three years relevant work experience
OR
Associate's Degree and one year relevant work experience
