An Executive Associate III performs administrative support work and acts as the personal secretary and assistant to an Executive Service official. Employees in this classification may supervise lower-level secretarial or clerical employees.
Employees in this classification receive general supervision from an Executive Service official.
Positions in this classification are evaluated using the classification job evaluation methodology. The use of this method involves comparing the assigned duties and responsibilities of a position to the job criteria found in the Nature of Work and Examples of Work sections of the class specification.
The Executive Associate I is differentiated from the Executive Associate II and Executive Associate III in that the Executive Associate I is the personal secretary and assistant to an Assistant Secretary or official of equivalent rank while the Executive Associate II is the personal secretary and assistant to a Deputy Secretary or official of equivalent rank and the Executive Associate III is the personal secretary and assistant to a Secretary or official of equivalent rank.
Acts as personal secretary and assistant to an Executive Service official;
Interprets administrative decisions and policies to other members of the staff and transmits orders and instructions with the authority of the Executive;
Acts as an intermediary for the Executive, maintaining frequent contacts with public and private executives, professional staff and other officials;
Composes correspondence;
Relieves the Executive of operational details by assembling, compiling and summarizing data into a concise form;
Answers incoming inquiries from visitors and callers and arranges for appointments and interviews;
Provides information to callers in regard to laws, rules, regulations and procedures governing the agency's operations;
Obtains material from a variety of sources to be used for articles, reports and speeches;
Maintains important and confidential records, schedules, expense accounts and office supplies;
Proofreads and signs outgoing correspondence; Reads reports and summarizes information to facilitate the supervisor's review;
Types manuscripts, correspondence, tables, charts, graphs and forms from corrected copy, rough draft or oral instruction using a keyboard of a personal computer;
Opens, sorts, reads and distributes incoming correspondence;
Reviews records and correspondence for completeness and accuracy;
Prepares and maintains statistical and numerical reports and records;
Develops special forms and summaries using a variety of records in order to secure complete and accurate information;
May design and implement office procedures;
May use word processing, database, spreadsheet or desktop publishing computer software applications in order to prepare reports, charts, graphs or other documents;
May take dictation using shorthand;
May supervise lower-level clerical employees;
Performs other related duties.

This is a Skilled Service classification in the State Personnel Management System. All positions in this classification are Skilled Service positions. Some positions in Skilled Service classifications may be designated Special Appointment in accordance with the State Personnel and Pensions Article, Section 6-405, Annotated Code of Maryland.
This classification is not assigned to a bargaining unit, as indicated by the designation of S (Supervisor), M (Manager), T (Agency Head), U (Board or Commission Member), W (Student), X (Used by Agency or Excluded by Executive Order), or Z (Confidential). As provided by State Personnel and Pensions Article, Section 3-102, Annotated Code of Maryland, special appointment, temporary, contractual, supervisory, managerial and confidential employees are excluded from collective bargaining. Additionally, certain executive branch agencies are exempt from collective bargaining and all positions in those agencies are excluded from collective bargaining.
Employees in this classification are eligible to receive overtime compensation. An employee who works more than the normal workweek is entitled to be compensated for that overtime as provided by the State Personnel and Pensions Article, Section 8-305, Annotated Code of Maryland.
