Function

This position provides administrative and training support to the Workforce Development and Training Team and is the departmental travel auditor.

Summary

We seek a highly organized and detail-oriented individual to join our team as the primary Concur Travel Auditor for Charlotte Water. In this role, you will play a critical role in ensuring the smooth and efficient management of travel expenses for our organization. As a Concur Travel Auditor, you will be responsible for reviewing and approving travel requests and expenses in accordance with City of Charlotte policies and procedures. Additionally, this role will support the Workforce Development and Training Team as needed.

Major Duties and Responsibilities

Review and approve travel requests in Concur and Workday (after implementation), ensuring compliance with city policies and procedures.
Verify and reconcile travel expenses, ensuring accuracy and adherence to City guidelines.
Collaborate with employees and travel arrangers to resolve discrepancies or issues related to travel bookings or expenses.
Provide guidance and support to employees on travel policy and procedures.
Monitor travel trends and patterns to identify areas for cost savings and process improvements.
Assist in developing and implementing travel-related policies and procedures, including staff training.
Provide support to the department through the transition from Concur to Workday for travel expenses.
Performs other related Workforce Development job duties as assigned (e.g., purchasing supplies, ordering catering, recording attendance, creating handouts, setting up training rooms).

Knowledge, Skills & Abilities

Knowledge (or obtain in a reasonable amount of time) of the laws, rules, regulations, and policies that impact Charlotte Water.
Knowledge of business English, spelling, punctuation, and arithmetic.
Skill in using Microsoft Office Suite, including Excel, Word, and PowerPoint.
Strong analytical skills with a keen attention to detail.
Excellent organization and time management skills.
Ability to prioritize and multitask in a fast-paced environment.
Ability to work independently and as part of a team.
Ability to establish and maintain effective working relationships with department employees, other city departments, and the public.
Ability to compose effective and accurate correspondence.
Strong communication skills, both written and verbal.

Preferred Qualification

Experience working with Concur, Workday, or similar travel management systems.

Minimum Qualifications

High school diploma or GED from an accredited school; supplemental college-level coursework preferred.
Three (3) years of related work experience providing high-level secretarial/administrative support.

Licenses, Certifications or Registrations
Requires a valid driver’s license.

Conditions of Employment

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.

Background checks must be in compliance with all federal and state statutes, such as the Fair Credit Reporting Act (FCRA). The checks must be consistent with the guidelines set forth by these laws requiring organizations to obtain a candidate’s written authorization before obtaining a criminal background report, motor vehicle records check or credit report; and to properly store and dispose of information derived from such reports.

Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
