Summary

The front desk job is the welcoming face that people see when they come into the Charlotte Fire Department Headquarters. This person will greet and welcome all who enter the Charlotte Fire Dept.  This person should be professional, greet people as they come into HQ, and answer phone calls. They will perform other administrative duties that are assigned by the Facilities Coordinator. The front desk person will be given the option to work 7am – 4pm or 8am – 5pm Mon-Fri.

Major Duties and Responsibilities

· Answer phone calls and redirect calls to the correct departments.

· Answer gate phone and open gates for visitors.

· Secure facility before leaving for the day.

· Sort and deliver inter-office mail and packages.

· Coordinate food deliveries to correct personnel or departments.

· Monitor coffee supplies in the kitchen. Contact Facilities Coordinator when supplies are low.

· Monitor bathroom supplies. Contact Facilities Coordinator when supplies are low.

· Setup FF Hall for events, meetings, etc.

· Greet public and direct them to the right department or conference room.

· Assist personnel when they go to the city garage to drop off or pick up their vehicle.

· Conference room scheduling backup to Facilities coordinator and Executive assistant.

· Facilities Coordinator assistant with everyday facilities operations.

· Expert knowledge of computer programs like Microsoft office, Google chrome, etc.

· Other administrative duties assigned by the department.

Knowledge, Skills & Abilities

· Assist Antique department with the antique fire equipment in the main lobby.
· Maintain and monitor historical items in the main lobby and coordinate with the museum committee.
· Backup to drive the HR/Finance personnel to the CMGC for meetings.
· Backup to pickup bereavement checks at the Fire Credit Union.
· Backup to fuel Chief and Deputy Chief vehicles (Light duty personnel are primary).

Preferred Qualification

· EMT certified or basic medical knowledge.
· Notary of Public.
· Past and present knowledge of the Fire Service (Primarily Charlotte Fire Department).

Minimum Qualifications

High School Graduate or Equivalent and three years relevant work experience

OR

Associate's Degree and one year relevant work experience

OR

Bachelor's Level Degree
